VoteUSA, in partnership with WeVote, is seeking a detail‑oriented Communications Officer to support nationwide voter‑information outreach in a meaningful volunteer role (~3–4 hours per week). The Role of the Communications Officer

Reporting to the Communications Manager, the Communications Officer is responsible for executing VoteUSA’s outbound email communications using the organization’s Bulk Email Tool. This role is hands‑on, detail‑driven, and essential to ensuring timely, accurate outreach to candidates and constituents.

What You’ll Accomplish

  • Email Operations — Prepare and send email batches end‑to‑end using VoteUSA’s Bulk Email Tool: select templates, filter recipients, preview content, send tests, and execute final sends.

  • Candidate & Constituent Messaging — Manage the highest‑volume audience tracks under the Communications Manager’s guidance on timing, messaging, and approvals.

  • Weekly Planning — Review the “This Week & Next” planner to identify which states and audiences have sends due.

  • Inbox Monitoring — Monitor shared inboxes for replies and bounces; triage routine responses and escalate judgment‑based items.

  • Data Quality Review — Flag issues such as duplicate contacts, stale addresses, or missing states.

  • Collaboration — Coordinate with the Communications Intern on address intake and metrics tracking to ensure lists are current.

  • Workflow Improvement — Support documentation and process improvements for consistency and efficiency.

  • Team Participation — Attend weekly check‑ins and contribute to team OKRs.

Who You Are: Must‑Haves

  • Weekly Availability — Able to volunteer 3–4 hours per week during WeVote’s core hours (M–F, 9 a.m.–6 p.m. PT).

  • Tool Comfort — Comfortable working in a web‑based tool with multiple tabs, filters, and data fields.

  • Attention to Detail — You will be the final reviewer before emails reach real inboxes.

  • Collaboration — Willingness to work with and support other volunteers.

  • U.S. Location — Must be located in the U.S. with 1–2 hours per week overlapping with Pacific Time.

Nice to Have (Not Required)

  • Email Marketing Experience — Experience with email platforms, CRMs, or bulk‑email systems.

  • Election or Civic Familiarity — Knowledge of election administration, candidate outreach, or voter engagement.

  • Communications Background — Experience in communications, PR, nonprofit outreach, or marketing.

  • Additional Volunteering — If you have more than 4 hours per week, opportunities exist to contribute more broadly within WeVote.

What You’ll Gain
