Job description

This is a remote position.

We are looking for a responsible, highly organized, and independent Administrative & Finance Manager / Project Manager to support the company's operations in Georgia.

The role combines financial administration, government and regulatory coordination, document management, partner communication, and operational support. The successful candidate will act as a key local representative, working closely with the Director and external accountants, lawyers, banks, government agencies, and other partners.

This is a mostly remote position with on-site presence required when dealing with banks, government agencies, notaries, partners, or other office-related matters.


Your Duties

  • Act as the primary local point of contact with Georgian partners, banks, service providers, and relevant authorities.
  • Manage day-to-day communication and coordination with Georgian banks, including corporate accounts, payments, compliance requests, and operational matters.
  • Prepare and submit payment orders in GEL and foreign currencies.
  • Manage internet banking access, tokens, corporate cards, and related banking administration.
  • Maintain relationships with bank business/relationship managers and resolve operational issues.
  • Support corporate account opening, re-documentation, and periodic bank profile updates.
  • Collect and coordinate apostilled, notarized, and certified corporate documents when required.
  • Monitor account balances and proactively flag funding requirements to the Director.
  • Represent the company before the Revenue Service (rs.ge), National Agency of Public Registry (NAPR), Public Service Hall, notaries, and other relevant authorities.
  • Manage the company's rs.ge portal, including electronic invoices, waybills, filings, correspondence, and access rights.
  • Coordinate monthly and annual tax-related filings with the external accounting firm.
  • Support financial statement filing together with external accountants.
  • Track regulatory and administrative deadlines and provide early warnings about potential compliance risks.
  • Coordinate document notarization, apostille, legalization, and certified translation processes.
  • Maintain accurate primary documentation for company transactions.
  • Collect and organize supporting documents for transactions in an audit-ready format.
  • Prepare monthly documentation packages for external accountants and respond to their requests.
  • Maintain a structured digital document archive with consistent naming and folder organization.
  • Act as the main point of contact for outsourced accountants, legal counsel, and other external providers.
  • Brief external service providers on new transactions, contracts, and structural changes and communicate their recommendations to the Director.
  • Review contracts from an administrative and payment perspective and escalate substantive legal matters to legal counsel.
  • Maintain daily communication with the Director and provide clear, concise updates on ongoing matters.
  • Represent the company in meetings when the Director cannot be physically present.
  • Act under an authorized power of attorney within the relevant scope.
  • Prepare briefing notes, presentations, reports, and other materials for the Director.
  • Coordinate multiple administrative and operational projects and ensure tasks are completed on time.
  • Take ownership of urgent operational matters and make informed decisions when management is working from another time zone.

Requirements


  • 3+ years of experience in finance, financial administration, office management, business administration, project coordination, or a similar role.
  • Hands-on experience working with Georgian banks, including corporate accounts, payments, and compliance requests.
  • Practical experience working with Georgian government agencies, particularly the Revenue Service and NAPR.
  • Confident use of the rs.ge system and familiarity with primary financial documentation.
  • Strong organizational and coordination skills with the ability to manage multiple tasks and deadlines simultaneously.
  • Excellent attention to detail and strong document-management skills.
  • Ability to work independently and make sound decisions without constant supervision.
  • Strong written and verbal communication skills.
  • Fluent English, both written and spoken.
  • Russian language skills are an advantage.
  • Ability to work with external accountants, lawyers, banks, partners, and other stakeholders.
  • Good understanding of confidentiality and responsible handling of financial and corporate information.
  • Comfortable working remotely and coordinating with management across different time zones.
  • Availability during standard working hours of 09:00–18:00, with flexibility and availability for urgent matters when required.
