Position Title: Sales Coordinator

1.0 Job Summary
The Sales Coordinator provides essential support to the Sales Team through reporting, data analysis, sales administration, customer service, and logistics coordination. The role ensures timely access to key business insights, supports informed decision-making, and contributes to sales growth and operational effectiveness. Acting as a key link between Sales, Customer Service, Operations, and Warehouse teams, the Sales Coordinator coordinates customer orders, retailer enquiries, delivery activities, and product distribution, while helping to streamline processes, maintain accurate information, and deliver a positive customer experience.
2.0 Key Responsibilities
2.1 Sales Reporting & Analysis
- Prepare and distribute regular sales reports to support business decision-making.
- Analyse sales performance against budgets, forecasts, targets, and prior periods.
- Monitor sales trends and identify risks and opportunities for growth.
- Develop insights and recommendations to improve sales performance.
- Produce ad hoc reports and analyses as required by the Sales Team.
- Maintain and update sales dashboards and KPI reporting tools.
- Support monthly business reviews with performance reporting and insights.
- Assist with sales campaign activities.
2.2 Sales Administration & Coordination
- Support the National Sales Manager and Account Managers with administrative and coordination activities.
- Prepare monthly sales presentations and reporting packs.
- Coordinate information required for customer meetings and business reviews.
- Maintain sales documentation, templates, and processes.
- Maintain customer and retailer information within company systems.
- Provide administrative support for sales programs, customer initiatives, and business projects.
2.3 Customer Service & Retailer Support
- Coordinate order-related communications between Sales, Customer Service, Warehouse, and customers.
- Respond to retailer requests in a professional, timely, and customer-focused manner.
- Liaise with internal departments to resolve customer issues and provide accurate information.
- Monitor order status and provide updates regarding order progress, stock availability, and delivery schedules.
- Support customer satisfaction through proactive communication and effective issue resolution.
- Escalate customer concerns where appropriate and assist in identifying solutions.
- Support the ongoing development of strong retailer and customer relationships.
2.4 Promotional & Commercial Support
- Compile and distribute weekly retailer promotional activity reports and promotional decks.
- Promote stock opportunities and marketing initiatives to maximise sales growth.
- Assist in tracking promotional performance and return on investment.
- Support the implementation and communication of national sales campaigns.
2.5 Logistics & Warehouse Support
- Support warehouse and logistics activities through data entry and administration of carrier and retailer portals.
- Assist in entering and maintaining shipment, pickup, and delivery information within carrier systems and customer-specific platforms, including Harvey Norman C3 and other retailer portals.
- Pick, pack, and prepare small merchandise items, point-of-sale materials, top-of-bed products, and sample items for distribution to stores, customers, and Account Managers.
- Provide operational support to ensure customer delivery requirements are met.
2.6 Conference & Event Coordination
- Coordinate the planning and execution of internal sales conferences, retailer conferences, and customer events.
- Manage event logistics including venue sourcing, accommodation, travel arrangements, catering, registrations, event communications, and attendee management.
- Develop and maintain event timelines, project plans, budgets, and schedules.
- Coordinate the preparation of presentation materials, conference packs, agendas, product displays, promotional materials, and delegate communications.
- Coordinate post-event evaluations, feedback collection, and reporting to support continuous improvement.
- Ensure all events reflect company brand standards and deliver a professional customer and employee experience.
2.7 Continuous Improvement
- Identify opportunities to improve reporting processes, data quality, sales administration practices, and customer support activities.
- Support system enhancements and process improvement initiatives.
- Recommend efficiencies that improve the effectiveness of the Sales Team and cross-functional business processes.
- Contribute to continuous improvement initiatives that enhance customer service, order fulfilment, reporting accuracy, and operational efficiency.

Our Working Environment
Supervision
You will work closely with, and report to, the National Sales Manager, New Zealand
Hours of Work
We work a 40 hour week. Office Hours are 8.00am to 5pm Monday to Friday with 1 hour for lunch. The incumbent will be expected to work the hours required to ensure the key responsibilities of the role are performed. There will occasionally be out-of-hours meetings or events the incumbent will be required to attend.
4.3 Location & Work Arrangement
This position is primarily based at the Company's Head Office in Mangere, Auckland. Regular onsite attendance is required to support collaboration with internal stakeholders, coordinate business activities, and effectively fulfil the responsibilities of the role.
The Company supports flexible working arrangements, with the opportunity to work from home for up to two (2) days per week, subject to business requirements, operational needs, and manager approval.
Occasional travel may be required to attend customer meetings, conferences, training sessions, retail partner visits, and company events.

- Experience in a Sales Coordinator, Sales Support, Commercial Support or Administration role.

- Experience coordinating meetings, events or conferences.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines.
- Experience working with CRM systems.
- Experience using Power BI or similar reporting tools is desirable but not essential.
- Event, conference or project coordination experience.
5.2 Education/ Qualifications:
- Qualifications in Business or a related discipline, are highly desirable.
- Experience working with cross functional teams.

- Proficient in Microsoft Office Suite.
