Job Summary

The RCM Training & Process Optimization Specialist is responsible for developing, standardizing, and delivering training and operational documentation across Revenue Cycle Management (RCM). 

This role serves as a subject matter resource for RCM systems, workflows, and processes across functions including Billing, Accounts Receivable, Payment Posting/Cash Reconciliation, and other RCM operational teams. The Specialist will work closely with operational leaders and team members to understand current workflows, learn new systems and functionality, identify opportunities for process improvement, and translate those processes into clear, scalable Standard Operating Procedures (SOPs), workflows, job aids, and training materials. 

While this position will support onboarding and training of new team members, its primary focus is broader: ensuring RCM teams have well-defined, documented, and optimized processes and are effectively trained when systems, technology, or operational workflows change. 

Key Responsibilities 

RCM Training & Team Development 

  • Develop and deliver structured training for RCM team members across Billing, Accounts Receivable, Payment Posting/Cash Reconciliation, and other revenue cycle functions. 

  • Lead training for new team members as hiring and onboarding needs arise. 

  • Develop ongoing education and refresher training for existing team members. 

  • Create training programs for new systems, system enhancements, automation, and changes to RCM workflows. 

  • Translate complex system functionality and RCM processes into clear, practical training that team members can apply in their daily work. 

  • Conduct live demonstrations, workflow walkthroughs, and hands-on system training. 

  • Assess training effectiveness and identify areas where additional education, documentation, or process clarification is needed. 

  • Partner with RCM leadership to identify knowledge gaps and develop targeted training to address them. 

SOP & Workflow Development 

  • Own the development and maintenance of SOPs across RCM departments. 

  • Work directly with operational teams to understand existing workflows from beginning to end. 

  • Document standardized workflows, procedures, business rules, escalation paths, and system requirements. 

  • Create clear, detailed SOPs that enable team members to consistently execute RCM processes. 

  • Develop workflow diagrams, process maps, checklists, job aids, and other supporting documentation where appropriate. 

  • Establish consistent standards and templates for RCM SOPs and training documentation. 

  • Maintain a centralized library of current RCM SOPs, workflows, training materials, and job aids. 

  • Establish a regular review process to ensure documentation remains current as systems and operational requirements change. 

Systems & Technology Enablement 

  • Develop a strong working knowledge of systems and technology used across RCM operations. 

  • Become a subject matter resource for new systems and functionality introduced to the RCM organization. 

  • Participate in system implementations, enhancements, and operational changes to understand how new functionality impacts existing workflows. 

  • Test and validate workflows from an operational perspective before developing training and documentation. 

  • Translate system functionality into practical RCM workflows and step-by-step procedures. 

  • Develop and deliver training prior to system or workflow changes being rolled out to operational teams. 

  • Serve as a bridge between system functionality and day-to-day RCM operations. 

RCM Process Optimization 

  • Evaluate existing RCM workflows to identify inefficiencies, unnecessary manual steps, inconsistencies, and opportunities for standardization or automation. 

  • Partner with RCM leaders and operational subject matter experts to develop improved future-state workflows. 

  • Look beyond documenting the current process and actively identify opportunities to make workflows more efficient, scalable, and consistent. 

  • Identify processes that can be simplified, standardized, automated, or supported through improved system utilization. 

  • Document both current-state and future-state workflows when significant operational changes are being implemented. 

  • Help establish standardized processes across teams where workflows currently vary by individual, client, or department. 

  • Support implementation of process improvements through documentation, training, and post-implementation follow-up. 

  • Monitor newly implemented workflows and gather feedback to determine whether additional optimization or training is required. 

Key Deliverables 

The RCM Training & Process Optimization Specialist will be accountable for producing and maintaining: 

  • Standard Operating Procedures (SOPs) 

  • End-to-end RCM workflow documentation 

  • Process maps and workflow diagrams 

  • System training materials 

  • New-hire training materials 

  • Job aids and quick-reference guides 

  • Process and system change training 

  • Standardized workflow documentation across RCM departments 

  • Training assessments and knowledge checks 

  • Documentation supporting new technology and automation initiatives 

  • Current-state and future-state process documentation for major workflow changes 

Qualifications 

  • Strong understanding of Revenue Cycle Management operations and healthcare billing workflows. 

  • Experience working within one or more RCM functions such as Billing, Accounts Receivable, Payment Posting, Cash Reconciliation, Claims Management, or related revenue cycle operations. 

  • Ability to quickly learn new systems, technology, and operational processes. 

  • Strong ability to understand an end-to-end workflow and identify dependencies between teams, systems, and processes. 

  • Experience developing SOPs, process documentation, training materials, or operational workflows. 

  • Strong written communication skills with the ability to turn complex processes into clear, easy-to-follow instructions. 

  • Experience training individuals or groups in systems, processes, or operational procedures. 

  • Strong analytical and problem-solving skills with the ability to identify workflow inefficiencies and recommend improvements. 

  • Comfortable working directly with operational team members and leadership to gather information and validate processes. 

  • Highly organized with strong attention to detail and documentation standards. 

  • Ability to manage multiple documentation, training, and process-improvement initiatives simultaneously. 

Preferred Qualifications 

  • Experience supporting RCM system implementations, migrations, or technology changes. 

  • Experience with workflow mapping and process improvement. 

  • Experience developing structured training programs or learning materials. 

  • Familiarity with RCM automation and technology-enabled workflows. 

  • Experience working across multiple RCM departments rather than within a single functional area. 

  • Experience supporting distributed or offshore RCM teams is a plus.

Success in this role means RCM processes are not dependent on tribal knowledge. Team members have clear, current documentation showing how work should be performed, new systems and workflow changes are supported by structured training, and operational processes are continuously evaluated for opportunities to improve efficiency and consistency. 

The RCM Training & Process Optimization Specialist should become a trusted resource who can enter an unfamiliar RCM workflow or system, learn how it works, understand how it connects to the broader revenue cycle, identify opportunities to improve the process, document the optimal workflow, and effectively train the team to execute it.
