Responsibilities:

Onboarding & Clinician Support

  • Initiate contact with anesthesia clinicians post-contract to outline onboarding steps, site-specific orientation requirements, and OR readiness expectations.
  • Guide clinicians through access to SCP systems (e.g., Okta, mySCP Connect, Workday) and anesthesia-relevant hospital systems where applicable.
  • Track onboarding progress, ensuring timely completion of credentialing, enrollment, and any anesthesia-specific privileging requirements (e.g., subspecialty case logs, hospital department sign-offs).
  • Respond to clinician questions or route escalations to functional experts as needed.
  • Maintain accurate clinician data — including subspecialty competencies, supervision eligibility, and case-mix qualifications — in Salesforce and other internal systems.

Scheduling & Workforce Coordination

  • Collect clinician availability, preferences, subspecialty competencies, and shift commitments across MD/DO Anesthesiologists, CRNAs, and AAs.
  • Build and maintain monthly anesthesia schedules in Qgenda, ensuring complete coverage of OR blocks, call coverage, late rooms, and post-call relief while minimizing premium spend.
  • Align schedules with the site’s anesthesia care team model — including appropriate Anesthesiologist-to-CRNA/AA supervision ratios and applicable state and payer rules.
  • Coordinate site-specific case mix coverage (e.g., OB, cardiac, peds, regional, chronic pain) to ensure the right clinicians are scheduled for the right cases.
  • Manage shift confirmations, cancellations, swaps, late room run-overs, and APAY/Holiday Pay entries within Qgenda.
  • Partner with Medical Directors, Lead CRNAs, and hospital OR/perioperative leadership to resolve open shifts, manage post-call rest, and negotiate coverage for add-on cases and call gaps.
  • Ensure First Schedule Dates (FSD) and clinician details are accurately recorded in Salesforce (SFDC).
  • Collaborate with Recruiting and Credentialing to align schedule readiness with start dates and any subspecialty privileging timelines.

Payroll & Expense Support

  • Verify payroll hours from Qgenda — including call stipends, late room pay, post-call adjustments, and any subspecialty differentials — reconcile discrepancies, and coordinate submissions to Payroll.
  • Assist clinicians with pay and reimbursement questions, escalating complex cases (e.g., stipend calculation disputes, multi-site allocations) appropriately.
  • Track and ensure completion of clinician expense reimbursements before payroll close.

Clinician Relationship Management

  • Serve as the primary point of contact for assigned anesthesia clinicians, ensuring consistent communication and timely issue resolution.
  • Develop trusted relationships that promote engagement, retention, and a strong care team culture.
  • Communicate key updates, policy changes, site-specific needs, and OR schedule shifts proactively.

Offboarding & Data Accuracy

  • Guide clinicians through offboarding steps, ensuring all documentation, final pay items, and call/stipend reconciliations are completed.
  • Maintain current clinician contact information and update system records as required.
  • Support reporting and analytics to track clinician satisfaction, schedule quality, and operational metrics specific to anesthesia (e.g., open shift rate, premium spend, post-call compliance).

Process & Quality Improvement

  • Identify opportunities to improve workflows, scheduling logic, and clinician experience within the anesthesia service line.
  • Participate in ongoing training and calibration to maintain consistency across CET and stay current on anesthesia staffing practices.
  • Support initiatives aimed at standardization, automation, and cross-functional alignment with hospital perioperative partners.

Knowledge, Skills, and Abilities

  • Working knowledge of the anesthesia care team model and supervision ratio concepts; ability to learn site- and state-specific variations.
  • Familiarity with OR block scheduling, call coverage models, post-call rest expectations, and late room dynamics.
  • Excellent verbal and written communication, organizational, and follow-up skills.
  • Able to use persistence, tenacity, and influence to negotiate and engage with clinicians and perioperative leaders.
  • Able to work collaboratively and effectively in a team environment.
  • Comfort operating in high-tempo, time-sensitive environments where schedule changes are frequent and consequential.

Education

  • High school diploma or GED required; associate or bachelor’s degree in business, healthcare, or related field preferred.

WORK EXPERIENCE/QUALIFICATIONS:

  • 3+ years of experience in customer service, clinician support, or scheduling within healthcare operations.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to multitask in fast-paced, high-volume environments with strong attention to detail.
  • Two or more years’ experience in customer service position.
  • Previous healthcare experience scheduling high-volume of staff or clinicians, a plus.
  • Experience working in a professional or medical based office environment, a plus.
  • Anesthesia scheduling experience.

PRIMARY LOCATION:

  • Remote - United States

Pay Range:

51,293.00 - 72,891.00 USD annually

This range represents the anticipated base salary for this role. Actual compensation will be determined based on experience, qualifications, and internal equity considerations.
