Real Estate Sales Admin Assistant

This is a remote position.

We are seeking an enthusiastic, high-energy, and detail-oriented Assistant to join our dynamic real estate team in a unique split role. In this position, you will divide your time supporting our Business Development Manager (BDM) and our Operations/Executive Lead. 

The ideal candidate possesses a vibrant, "bubbly" personality, thrives in a fast-paced environment, and can seamlessly switch gears between lead generation support and administrative operations. 

Requirements

RESPONSIBILITIES

• Lead Management: Assist with CRM data entry, updating client profiles, and tracking pipeline stages.
  

• Outreach Support: Prepare pre-listing kits, coordinate property appraisal documents, and send follow-up emails to prospective clients.
  

• Marketing Coordination: Assist in organizing digital marketing materials, social media scheduling, and email newsletters to nurture the BDM’s database.
  

• Calendar & Email Management: Organize schedules, set reminders, and manage inbox triage to ensure no critical tasks slip through the cracks.
  

• Administrative Support: Prepare real estate documentation, coordinate meeting agendas, and handle general data entry.
  

• Client Relations: Act as a warm and welcoming point of contact via email or phone for clients, tenants, and vendors.
  

Key Requirements & Qualifications

• Experience: Previous experience as a Virtual Assistant, preferably within the Real Estate industry (Property Management or Sales support is a major plus).
  

• Personality Fit: An exceptionally energetic, positive, and bubbly personality with a "can-do" attitude.
  

• Communication: Stellar verbal and written English communication skills.
  

• Tech Savvy: Familiarity with real estate CRMs (e.g., Rex, PropertyMe, Vault, or similar), Project Management tools (Asana, Trello), and the Google Workspace / Microsoft 365 suite.
  

• Task Management: Strong organizational skills with the ability to manage competing priorities from two different managers.
