About the Role

The Business Systems Manager is an IT professional that partners closely with the Business Applications team, fellow NetSuite administrators, and key business stakeholders to ensure NetSuite is used effectively, consistently, and in alignment with shared enterprise standards.  

With a strong focus on NetSuite as the core ERP, this role translates Finance, Procurement, Revenue and accounting requirements into scalable configurations, workflows, and user-friendly solutions that drive efficiency, control, and continuous improvement.  

 

In addition, working knowledge of order to cash lifecycle and platforms such as NetSuite, Avalara, is essential, as the role serves as the functional and technical owner of multiple ecosystems, supporting end-to-end processes across Quote to cash, Procure to Pay, expense management and Revenue Recognition

 

Blending business acumen with systems expertise, the Business System Manager collaborates confidently with Business—from System Admins to Managers—to deliver platforms that operate as strategic assets rather than just supporting tools. 

Responsibilities

System Administration & Configuration

  • Configure and maintain business systems based on user needs and operational requirements.

  • Serve as the business systems consultant, ensuring solutions align with business objectives and processes.

  • Recommend system configuration changes, enhancements, and process improvements to optimize business operations.

  • Develop deep expertise in assigned business applications and related business processes.

  • Administration experience including workflows, scripting, and day-to-day system support

  • Balance strategic objectives with tactical business needs when prioritizing system changes and enhancements.

Internal Team Partnership & Communication

  • Liaise with internal stakeholders, external vendors, and implementation partners to understand business requirements and translate them into system solutions.

  • Act as the primary point of contact for business system inquiries, guidance, and support.

  • Represent business stakeholders in discussions with other departments and technical teams regarding system enhancements and initiatives.

  • Provide regular project updates, status reporting, and risk communication to leadership and key stakeholders.

  • Foster strong partnerships across operational, technical, and leadership teams to ensure successful outcomes.

Change Execution & Documentation

  • Lead and coordinate business system change initiatives from planning through implementation.

  • Develop and maintain project plans, timelines, and deliverables for medium-sized projects.

  • Create and maintain system documentation, process guides, release notes, and knowledge resources.

  • Execute change management activities to support user adoption of new processes and technologies.

  • Deliver training sessions and educational materials for end users impacted by system or process changes.

  • Collaborate with implementation partners and project teams during larger-scale initiatives.

Support & Issue Resolution

  • Provide production support and troubleshooting for assigned business systems.

  • Identify, assess, and resolve system-related issues and operational roadblocks.

  • Escalate and coordinate issue resolution with technical teams, vendors, and leadership as required.

  • Monitor system performance and proactively recommend improvements to reduce operational inefficiencies.

  • Support user acceptance testing (UAT), validation activities, and post-deployment stabilization efforts.

Integrations & System Awareness

  • Build and maintain a strong understanding of integrations between assigned business applications and the broader technology ecosystem.

  • Assess the impact of system changes on downstream and upstream applications, processes, and data flows.

  • Collaborate with Business Intelligence and technical teams to ensure alignment between business systems, reporting, and analytics requirements.

  • Support integration planning, testing, and deployment activities to maintain system reliability and data integrity.

  • Identify opportunities to improve cross-platform efficiency and user experiences.

Access & Governance Support

  • Collaborate with Business Intelligence Architects, Directors, and other stakeholders on user access management and role-based security.

  • Support governance processes related to user provisioning, permissions, compliance, and system controls.

  • Participate in release management, production support, governance, and testing cycles.

  • Ensure business system configurations and processes adhered to organizational policies and standards.

  • Support audit, compliance, and documentation requirements related to system administration and access controls.

Functional Expertise

  • Strong understanding of Finance and Accounting business processes, including General Ledger (GL), Accounts Payable (AP), Accounts Receivable (AR), Fixed Assets, Cash Management, Intercompany Transactions, and Financial Close activities.

  • Working knowledge of Quote-to-Cash (QTC) processes, including customer onboarding, order management, billing, invoicing, collections, revenue recognition, and renewal workflows.

  • Working knowledge of Procure-to-Pay (P2P) processes, including requisitions, purchase orders, approvals, vendor management, invoice processing, and payment execution.

  • Understanding of SaaS business models and associated systems requirements, including subscription billing, contract amendments, usage-based billing, revenue recognition, and customer lifecycle management.

  • Experience supporting financial planning, forecasting, budgeting, reporting, and operational planning processes through integrated business systems.

  • Ability to translate accounting policies, operational requirements, and audit controls into scalable system configurations and business processes.

  • Strong understanding of financial controls, segregation of duties (SoD), SOX requirements, audit readiness, and governance processes within enterprise systems.

  • Experience defining business requirements, documenting current and future-state processes, performing gap analysis, and developing scalable solution designs.

  • Ability to partner effectively with Finance, Procurement, Revenue Operations, Tax, and Accounting stakeholders to drive process standardization and continuous improvement.

  • Understanding of enterprise data flows, master data management, and cross-functional dependencies across ERP, planning, tax, procurement, expense management, and reporting platforms.

  • Experience supporting testing strategies, user acceptance testing (UAT), release validation, and change management activities for business-critical financial systems.

  • Working knowledge of subscription-based revenue operations, including contract lifecycle management, recurring billing, usage-based pricing models, revenue compliance, and SaaS performance metrics.

Who You Are

  • Working knowledge of Corporate Business Systems (i.e., CRM, Marketing Automation, PRM, CMS, and ERP tools)

  • Understanding iPaaS solutions (e.g. Jitterbit, Boomi, etc.) and integration experience with internal applications (NetSuite, Adaptive, Pigment, Avalara, Workday, Navan, Zip etc.). 

  • Working knowledge of Business Operations practices (i.e., Quote to Cash, Sales, and Marketing Demand Generation)

  • Ingenuity to find solutions that bridge the gap between system constraints and business need

  • Excellent analytical and abstract reasoning skills

  • Effective communicator with technical peers and non-technical stakeholders

  • Good foundational skills in project management

  • Aptitude for learning many areas of the business and ability to understand user requirements, and ability to bridge the gap between system constraints and business need

Minimum Qualifications​​

  • 3+ years of experience with Business Systems and Administration

  • Experience or familiarity with different Finance/Accounting platforms (e.g., NetSuite, Avalara, Coupa, Zip, Navan or similar).

  • Proficiency in Microsoft Office (Excel, Word, Outlook) for documentation, data analysis, and stakeholder communication.

  • Willingness to continue growing through experience and/or study and certification.

  • Bachelor’s degree or equivalent

Preferred Qualifications

  • SaaS / High Tech industry experience preferred

  • Cybersecurity industry experience preferred

  • Prior experience building and supporting a hyper-growth business in a distributed environment

  • NetSuite Suite Foundation Certification preferred

The base salary range for this job family is 60,000 to 181,000 CAD annually. This range reflects the base pay the company reasonably expects to offer for this position, aligned to the broader job family base pay structure. Actual base pay may vary based on skills, experience, and location, including job family level. In addition to base pay, Arctic Wolf offers variable incentive compensation, new hire equity grants, and a comprehensive benefits package.
