The Opportunity


Our client is looking for an Executive Assistant to the Founder to take ownership of the

workstreams that most depend on the founder's time and judgement: inbox management,

Diary management, recruitment support, and acquisition sourcing.


This isn't a traditional Executive Assistant role.


You won't be waiting for instructions or working through a task list handed to you each

morning. You’ll independently manage key areas of responsibility, make informed decisions

within agreed parameters, and involve the founder only when genuine strategic input is

required.


Youll become the founder's trusted right hand, taking ownership of processes from first

Contact through to final recommendation, with the autonomy to deliver results your way.


What We Need From Our Executive Assistant


The Areas You'll Own


Inbox & Diary Management


● Triaging and responding to routine emails

● Flagging high-priority communications

● Managing the founder's calendar end-to-end

● Scheduling meetings and protecting focus time

● Anticipating and resolving diary conflicts before they arise


Recruitment & Talent Sourcing


● Sourcing and approaching candidates via LinkedIn for open vacancies

● Managing candidate communications and follow-ups

● Building and maintaining a live talent pipeline

● Coordinating interviews

● Presenting shortlisted candidates with clear recommendations


Acquisition Research & Deal Flow


● Researching businesses through broker platforms and marketplaces

● Screening opportunities against agreed investment criteria

● Preparing and sending professional outreach to business owners and brokers

● Maintaining a live acquisition pipeline for review


Pipeline & Reporting


● Maintaining accurate recruitment and acquisition trackers

● Ensuring all pipelines remain current and actionable

● Providing the founder with clear visibility across ongoing activity


The Day-to-Day Standard


● Same-day triage of the founder's inbox, with routine matters handled independently

● A diary that remains organised, accurate and conflict-free at least one week ahead

● Consistent weekly LinkedIn outreach to high-quality candidates, with timely follow-up

● Ongoing sourcing and screening of acquisition opportunities

● Recruitment and acquisition trackers reviewed and maintained weekly


Your Mission


Give the founder their time back.


You'll ensure the founders' inbox and diary run seamlessly, build a strong pipeline of

Qualified candidates, and identify acquisition opportunities worthy of attention.


Within six months, success will look like:

● The founders' inbox and diary operate with minimal involvement from them

● Open vacancies have a steady flow of high-quality, well-screened candidates

● An organised and growing acquisition pipeline is maintained

● The founder is involved only at genuine decision points

● Significantly less time is spent on coordination, administration, and follow-up


Who Were Looking For

You may have worked as an Executive Assistant, Personal Assistant, Operations Coordinator, Recruiter, or Researcher. What matters most is your ability to take ownership

Communicates Exceptionally Well

You have excellent written English and can adapt your communication style whether speaking with candidates, brokers, suppliers, or senior stakeholders.


Handles Confidential Information Professionally

You'll have access to sensitive business information, confidential correspondence, and

commercial discussions, and you naturally handle these with discretion.




Is Exceptionally Organised

You have outstanding attention to detail, strong organisational skills and excellent tracker discipline. You keep multiple priorities moving without losing sight of the detail.


Has Executive Support Experience

You're comfortable managing busy inboxes, complex diaries, and executive priorities, while confidently using Microsoft Office or Google Workspace, spreadsheets, LinkedIn, and

Modern productivity tools.


Relentlessly Follows Up

You don't let opportunities go cold. You keep conversations moving and ensure actions are

completed.


Looks for Ways to Add Value

Rather than waiting for work, you proactively identify opportunities to remove responsibilities

from the founder's workload.


Desirable Experience


Experience in any of the following would be advantageous:


● Executive Assistant or senior Personal Assistant experience

● Supporting a founder, CEO, or senior executive

● LinkedIn Recruiter or Sales Navigator

● Recruitment or talent sourcing

● Business research or acquisition research

● High-growth or founder-led businesses

● Consumer products, e-commerce, or retail environments
