Job description

This is a remote position.

Our client is looking for a motivated Appointment Setter to engage prospective clients, qualify incoming leads, and convert interest into confirmed appointments. They are a fast-growing medical-aesthetics growth partner whose systems have helped clinics generate predictable revenue and achieve six-figure months through premium treatment campaigns.

The ideal candidate is confident communicating by phone and written channels, highly organized, attentive to detail, and committed to creating a warm and personalized experience for every lead. This person will manage multiple conversations and campaigns while maintaining accurate records, consistent follow-up, and clear daily reporting.

The position is designed to expand over time. The selected candidate must be prepared to manage additional accounts, campaigns, and responsibilities as the company grows. This opportunity is best suited for someone seeking a stable, long-term role rather than a short-term or passive position.

Responsibilities

  • Contact new and existing leads through phone calls, text messages, and internal communication platforms.
  • Build rapport with prospective clients and provide a professional, friendly, and personalized experience.
  • Follow up consistently with interested leads to increase response, booking, and conversion rates.
  • Assess and qualify leads according to established campaign criteria.
  • Schedule consultations and appointments based on each clinic’s availability.
  • Confirm upcoming appointments and ensure required deposits have been submitted or validated.
  • Maintain accurate contact information, conversation notes, statuses, and activity records in the CRM.
  • Update appointment reports, campaign pipelines, Excel files, and booking trackers every day.
  • Manage multiple lead conversations without allowing opportunities to fall through the cracks.
  • Follow approved scripts, workflows, and standard operating procedures while adapting communication to each lead.
  • Share daily activity updates, results, challenges, and lead feedback with the team through Slack.
  • Identify recurring objections, communication issues, and campaign insights that may help improve lead conversion.
  • Take on additional campaigns and responsibilities as workload and client accounts increase.


Requirements

  • Previous experience in appointment setting, cold calling, inside sales, lead qualification, or remote customer service.
  • Advanced or native-level English proficiency, both spoken and written.
  • Clear, professional, and persuasive verbal communication skills.
  • Confidence speaking with prospective clients by phone and through messaging platforms.
  • Ability to follow up consistently without sounding overly aggressive or impersonal.
  • Strong attention to detail and excellent organizational skills.
  • Ability to manage several conversations, appointments, and campaign pipelines simultaneously.
  • Proactive and resourceful approach to solving routine issues.
  • Ability to follow structured processes, scripts, and reporting requirements.
  • Familiarity with CRM platforms, digital calendars, spreadsheets, and communication tools.
  • Reliable computer equipment, stable internet service, and a professional remote workspace.
  • Strong work ethic, dependability, and willingness to accept increased responsibility over time.
  • Availability to support the schedules and time zones of assigned client accounts.
  • Commitment to accurate daily updates and transparent communication with the internal team.

Qualifications

  • Demonstrated success booking appointments or moving leads through a sales or customer engagement pipeline.
  • Experience using GoHighLevel or a comparable CRM platform.
  • Comfortable tracking lead statuses, follow-up activity, appointments, deposits, and conversion results.
  • Ability to balance structured workflows with personalized communication.
  • Experience working independently in a remote environment.
  • Comfortable receiving feedback, adapting quickly, and maintaining high performance standards.
  • Previous exposure to medical aesthetics, MedSpas, cosmetic clinics, healthcare, wellness, or another appointment-based service industry is preferred.
  • Experience communicating with prospective clients interested in premium or high-value services is an advantage.
  • Familiarity with automation workflows, SMS campaigns, or multichannel follow-up is beneficial.
