Plainfield Counseling Center is Hiring a Remote Administrative Assistant

Location: Remote
Employment Type: Full-Time
Compensation: $54,000 – $68,000 per year, based on experience and qualifications

About the Role

At Plainfield Counseling Center, we believe that seeking mental health support should be a welcoming, compassionate experience from the very first interaction. We're looking for a Remote Administrative Assistant who is highly organized, empathetic, and passionate about providing exceptional client service.

As the first point of contact for our practice, you'll help create a positive experience for clients while supporting our therapists through efficient scheduling, communication, and administrative coordination. This is an excellent opportunity for someone looking to build a career in healthcare administration while making a meaningful impact every day.

What Success Looks Like

During your first few weeks, you'll become familiar with our practice management systems, intake procedures, and day-to-day operations. You'll work closely with our clinical team to ensure every client receives timely, professional, and compassionate support.

As you grow in the role, you'll become an essential part of our operations by improving workflows, maintaining accurate records, and ensuring therapists can focus on delivering outstanding care.

Responsibilities

  • Serve as the primary point of contact for prospective and existing clients via phone and email.
  • Schedule, reschedule, and coordinate appointments for multiple therapists.
  • Guide new clients through the intake process and assist with required documentation.
  • Verify insurance benefits and assist with basic billing and co-pay processing.
  • Maintain confidential client records with accuracy and professionalism.
  • Coordinate communication between clients and clinicians.
  • Monitor calendars to maximize scheduling efficiency.
  • Support general administrative projects and office operations as needed.

Requirements

Required Qualifications

  • Excellent written and verbal communication skills.

  • Strong organizational and multitasking abilities.
  • High attention to detail and accuracy.
  • Comfortable learning new technology, including scheduling platforms and Electronic Health Record (EHR) systems.
  • Reliable high-speed internet and a private home office environment.
  • Ability to handle confidential information with discretion and professionalism.

Preferred Qualifications

  • Previous experience in an administrative, receptionist, customer service, or healthcare support role.
  • Experience with medical scheduling, insurance verification, or healthcare billing.
  • Familiarity with HIPAA regulations or healthcare privacy practices.
  • Interest in psychology, counseling, or behavioral health.
