The Administrative Assistant will follow established procedures and guidelines to provide executive and administrative support to a department, and senior leadership team. The Administrative Assistant answers telephones, screens calls, and takes messages to attend callers and visitors promptly.
The Administrative Assistant assumes ownership and leads advanced and specialized administrative, operational, and customer support responsibilities requiring independent initiative. You will be a trusted partner to senior leaders and provide proactive support to Vice Presidents, Senior Vice Presidents, and other executive-level leaders.
Main Accountabilities
- Create a variety of materials including correspondence, reports, executive presentations, meeting minutes, speeches, and communications using Microsoft Office applications.
- Provide direct administrative support to Medicaid executive leadership, including Vice Presidents, Senior Vice Presidents, and other senior leaders.
- Manage complex calendars, appointments, and schedules, resolving conflicts, and coordinating across multiple leadership teams and partners.
- Coordinate internal and external meetings, leadership forums, town halls, and strategic planning sessions, including agenda preparation, meeting logistics, travel arrangements, and follow-up activities.
- Be a liaison between executive leaders and with important stakeholders, ensuring communication and follow-through on critical projects.
- Coordinate domestic travel arrangements, expense reporting, and reimbursement activities following company policies.
- Support executive communications, including drafting, editing, and formatting leadership correspondence and presentations.
- Maintain a high level of confidentiality while handling sensitive business, financial, associate, and organizational information.
- Identify potential scheduling or operational issues and implement solutions before problems arise.
- Support onboarding activities for new leaders and associates and assists with leadership engagement events, team meetings, and organizational programs.
- Make decisions regarding the daily priorities for an administrative work group and external vendors, including coordinating work activities and monitoring progress toward schedules and goals.
- Be a primary administrative owner for important programs, technologies, or executive support responsibilities.
- Work within broad guidelines and managing priorities and executive support activities.

Required Qualifications
- 5+ years of administrative support experience, including experience supporting executive-level leaders.
- Demonstrated experience supporting Vice Presidents, Senior Vice Presidents, C-suite executives, or equivalent senior leadership teams.
- Experience managing complex and frequently changing executive calendars, travel arrangements.
- Advanced proficiency in Microsoft Outlook, PowerPoint, Word, and Teams
- Maintain strict confidentiality.
Preferred Qualifications
- Associate or bachelor's degree.
- Previous experience in healthcare, insurance, or with matrixed corporate environment.
- Experience with travel and expense management systems (e.g., Concur).
- Experience coordinating executive meetings, leadership events, and board-level materials.
- Experience conducting online research and preparing executive briefings.
Additional Information
- Schedule/Time Zone: Monday through Friday, 8:30 AM – 5:00 PM Eastern Time, with flexibility to work overtime.
- Work Location: Hybrid, based in Tampa, FL. You will spend 2 days per week onsite at 4030 Boy Scout Boulevard, Tampa, FL 33607. Additionally, you can work from home up to 3 days per week.

The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting. The pay range may be higher or lower based on geographic location and individual pay will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.
