THE OPPORTUNITY

We have an exciting opportunity for a Project Officer - Fee-for-Service to join our team, reporting to the Project Specialist - Fee-for-Service. This role supports the coordination, administration and delivery of AIGI's standardised, repeatable and productised fee-for-service offerings, including paid workshops, training, packaged advisory products and client communications.

You will help ensure fee-for-service work is well organised, culturally respectful, accurately documented and delivered to agreed timelines, supported by clear client, participant and project records.

This role is hybrid (preferred), with remote work available by arrangement. Candidates located anywhere in Australia are welcome to apply.

Your main role responsibilities include:

  • Supporting the coordination of standardised and productised fee-for-service offerings, including paid workshops, training sessions and packaged advisory products
  • Maintaining delivery schedules, action logs, project records and service documentation
  • Supporting timely and professional communication with clients, participants, facilitators, Associates and internal contributors
  • Coordinating meeting invitations, participant lists, attendance records, session information and follow-up communications
  • Maintaining CRM records, client notes, service activity records and pipeline or delivery data as directed
  • Supporting the Project Specialist - Fee-for-Service with information gathering for proposals, quotations, service requests and client enquiries
  • Coordinating the collection of client and participant feedback after fee-for-service activities, and maintaining feedback records and evaluation summaries
  • Any additional tasks that align with your role and responsibilities as directed by the Project Specialist - Fee-for-Service

WHAT YOU NEED TO SUCCEED

To be successful in this role, you ideally have:

  • Experience in administration, project support, service coordination, events, training support or client service roles
  • Demonstrated ability to work with Indigenous organisations, communities and individuals in culturally appropriate ways
  • Strong organisational and time-management skills, with the ability to coordinate multiple service activities, deadlines and records
  • Experience maintaining accurate records, action logs, calendars, CRM entries, participant lists and project documentation
  • Ability to support paid workshops, training, packaged advisory products or events through scheduling, logistics and participant communication
  • Strong written and verbal communication skills, including client, participant and internal communications
  • Competency using Microsoft Office, Teams, SharePoint, CRM or similar project and delivery systems
  • Ability to work independently while escalating risks, delays or complex matters appropriately

You are a reliable and well-organised administrator who enjoys keeping service delivery running smoothly behind the scenes. You bring strong attention to detail and take pride in accurate records, clear communication and dependable follow-through.

You are a professional and culturally respectful communicator who is comfortable liaising with clients, participants and facilitators, and who understands the importance of respectful, responsive engagement in a client-facing role. You enjoy supporting a busy team and are confident managing competing priorities and deadlines.
