Admin Logistics Coordinator

Location: Remote (LATAM)
Schedule: Part-time | 40 hours per month
Preferred Hours: Task-based / Flexible
Time Zone: Eastern Time

About the Role

We are seeking an organized and detail-oriented Administrative Specialist to support a SaaS platform dedicated to government contractors. This role is vital for managing the logistics behind our conference and event presence while ensuring all administrative workflows remain seamless.

In this position, you will act as a primary support pillar for our operations, handling everything from procurement quotes to the coordination of conference materials. Because we operate within the government contracting space, the ideal candidate must be reliable and capable of working within established security constraints.

Key Responsibilities

  • Event & Conference Logistics: Manage the end-to-end logistics for industry events, including booking conferences and purchasing tickets.
  • Shipping & Material Management: Oversee the logistics of shipping conference materials via FedEx, ensuring items arrive on time.
  • Procurement & Quotes: Proactively reach out to vendors to gather quotes for services and equipment as needed.
  • Administrative Support: Execute ad hoc administrative tasks to support a team of approximately 20 members.
  • Digital Coordination: Utilize Slack for team communication and Google Workspace for document management and scheduling.
  • Financial Administration: Assist with booking tasks and managing logistics through platforms like Mercury and various booking websites.
