Your role at St John of God Health Care

We are seeking a proactive and detail-oriented Contract Administrator to join our Group Services – Asset Management team within our not-for-profit healthcare organisation. This role provides vital administrative and contract management support to the Manager Contracts, contributing to the effective oversight of asset and facility management contracts across our network of 17 hospitals.

The successful candidate will assist in drafting and preparing Request for Tenders, contracts, renewals, variations, and other contract-related documentation, working closely with both the Manager Contracts and the Group Manager Asset Management.

This is an excellent opportunity for someone with strong administrative skills, experience in contract management, and a commitment to supporting the mission and values of a healthcare organisation dedicated to compassionate service.

The Position

  • Assist the Manager Contracts and Group Manager Asset Management to draft Request for Tenders, contracts, contract renewals and variations and other contract related documents as required.

  • Undertakes research and policy analysis into relevant issues as required for the development of appropriate contracts.

  • Carry out commercial analysis of contracts & proposals, and reviews Repairs and Maintenance spending.

  • Liaise with hospitals and other internal/external stakeholders to collect data and produce reports relating to contracts as required.

  • Prepare reports from various data sources related to contracts management activities. These include but are not limited to contract budget vs actual costs, contractor insurance status and contract key performance indicators.

  • Obtains contract performance evaluations from contract users; and liaises with services providers and other internal and external stakeholders to collect data on the management of contracts.

  • Monitors contractor performance through proactive contract management activities including performance reviews and monitoring/resolving contract issues of medium to complex nature.

  • Review invoices for compliance with contract terms.

  • Maintain and manage the contract register with responsibility for data entry, accuracy of data and currency of contracts & contract-related documents.

  • Carry out audits of the contract register

You will have demonstrated experience in the administration of maintenance contracts, requests for tender and variations, as well as relevant skills/abilities with experience or working knowledge of good practice accounting and/or procurement processes.

To succeed you will have demonstrated organisational and time management skills, demonstrated research, analytical and problem-solving skills with well-developed computer skills. Experience in developing and maintaining Excel spreadsheets is essential.

  • Salary: $101,492 to $105,187 per annum plus 12% superannuation

  • Permanent fulltime position working 76 hours per fortnight

  • Located at Kings Square Perth CBD office with 40% work from home option
