ABOUT THE ROLE

As an Executive Assistant – English & Spanish , you will provide direct administrative and operational support to a senior executive, ensuring efficient communication flow, time management, and coordination across the organization. This role is critical in maintaining daily operational efficiency by managing executive priorities, handling communications, and ensuring tasks are delegated and completed effectively.

This position requires a highly organized, proactive, and detail-oriented professional who can operate independently, exercise sound judgment, and maintain a high level of professionalism and discretion in a fast-paced environment.

WHAT YOU’LL BE DOING

Executive Support

  • Manage and prioritize the executive’s inbox daily, ensuring timely responses and organization.
  • Maintain and optimize calendar scheduling, including coordinating meetings and appointments.
  • Organize meeting agendas, follow-ups, and action items.
  • Protect executive time by filtering and prioritizing communications and requests.

Communication Management

  • Serve as a central communication hub between the executive and internal team members.
  • Act as a gatekeeper by redirecting inquiries and tasks to appropriate team members.
  • Ensure accountability by tracking delegated tasks and follow-ups.
  • Answer and manage incoming phone calls and virtual meetings professionally in English and Spanish, as needed.

Operational Support

  • Assist in coordinating day-to-day activities and operational priorities.
  • Track ongoing projects and ensure tasks are completed on time.
  • Maintain organized digital files, records, and documentation.
  • Support workflow management and administrative processes to improve operational efficiency.

WHAT WE’RE LOOKING FOR

  • Fluency in both English and Spanish (written and spoken) is required.
  • Qualification: Bachelor's degree (or equivalent) in Business Administration, Management, Communications, or a related field is preferred.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • High attention to detail with the ability to manage multiple priorities simultaneously.
  • Comfortable making independent decisions and exercising sound judgment.
  • Quick thinker with strong problem-solving skills and a proactive mindset.
  • Experience using Google Suite tools such as Gmail, Google Calendar, Google Docs, and Google Chat.
  • Ability to quickly adapt to new systems and tools.
  • Ability to work in a fast-paced environment with professionalism and discretion.

ROLE SPECIFICS

  • Availability to work during US business hours (or specify Eastern Time/Central Time if applicable).
  • Comfortable working remotely in a distributed international team.
