Position: Administrative Assistant (Rehabilitation & Physical Therapy Clinic)

About the Role

We are looking for a organized and detail-oriented Administrative Assistant to support the daily operations of a rehabilitation outpatient clinic specializing in physical therapy and related services, including dry needling, cupping, spinal manipulation, vestibular rehabilitation, and massage therapy.

The clinic serves a diverse patient population and accepts a wide range of insurance plans, so the assistant must be comfortable navigating healthcare administrative workflows, patient communications, and insurance-related coordination. This role requires someone who is professional, discreet with patient information, and able to keep multiple operational tasks moving without dropping the ball.

Key Responsibilities

  • Manage appointment scheduling, calendar coordination, and patient follow-ups.
  • Handle patient intake coordination, including form collection and first-visit preparation.
  • Respond to patient inquiries via phone, email, or online channels in a timely and professional manner.
  • Support insurance verification, authorizations, and coordination with insurance providers.
  • Maintain and update patient records and administrative databases accurately.
  • Assist with billing coordination and follow-up on outstanding accounts as needed.
  • Support the coordination of educational events, seminars, and fellowship programs hosted by the clinic.
  • Assist with social media posting, newsletter coordination, or other light marketing tasks as directed.
  • Handle general administrative and operational tasks to keep the clinic running smoothly.

Requirements

  • Prior experience in administrative support, preferably within a healthcare, medical, or clinical environment.
  • Strong written and verbal English communication skills.
  • Highly organized with strong attention to detail and consistent follow-through.
  • Comfortable handling sensitive patient information with full discretion and professionalism.
  • Proficient in Google Workspace and/or Microsoft Office tools.
  • Tech-savvy and able to learn clinic-specific software and tools quickly.
  • Able to work independently and manage multiple priorities without constant supervision.
  • Bilingual English and Spanish preferred; additional languages a plus given the clinic's diverse patient base.

Nice to Have

  • Experience working with U.S. health insurance providers (Medicare, Aetna, Humana, Optum, or similar).
  • Familiarity with medical billing or healthcare CRM platforms.
  • Knowledge of HIPAA compliance standards and best practices.
  • Experience supporting patient communications in multiple languages.
