Job description

Department: Scheduling
Location: Markham, ON (Head Office)
Salary: $60,000 annually, full-time

Schedule:

  • First 3 weeks, M-F 9am-5pm for training (in person)
  • After training is completed:
  • Monday to Friday:
    • 1 shift from 5am-11am (work from home)
    • 1 shift from 9am-7pm (in person)
    • 3 shifts from 9am-5pm (in person)
  • Schedules will be created 4 weeks in advance

Position Overview:

We are looking for a highly organized and proactive Scheduler to join our growing operations team. In this role, you will coordinate daily shift assignments for medical professionals—including nurses, PSWs, and allied health workers—across multiple healthcare facilities. Your work will be critical to ensuring clients’ needs are met efficiently and reliably, contributing directly to high-quality patient care.

Key Responsibilities:

  • Coordinate daily staffing schedules for healthcare professionals across multiple sites
  • Communicate with hospitals and long-term care facilities to assess and fulfill staffing requirements
  • Respond promptly to last-minute staffing changes and emergencies, making real-time scheduling decisions
  • Collaborate with recruitment and nursing teams to plan ahead for staffing coverage and support strategic scheduling initiatives
  • Use internal scheduling systems and software to maintain accurate records and ensure shift coverage
  • Notify staff of shift assignments, changes, and other pertinent information in a clear and timely manner
  • Identify and report trends or recurring challenges in scheduling to support data-driven improvements
  • Deliver an exceptional experience to both clients and staff through responsive and professional communication

Qualifications:

  • Minimum 1-2 years of experience in a scheduling or dispatch role within a hospital, healthcare, or staffing environment
  • Strong understanding of healthcare operations and workforce needs
  • Technological proficiency with scheduling software and CRM or database systems
  • Outstanding organization, time management, and attention to detail
  • Clear and professional verbal and written communication skills
  • Strong decision-making and problem-solving abilities, especially under pressure
