Executive Assistant to CEO

We are seeking a highly organized and detail-oriented Executive Assistant to support the CEO of our organization. The ideal candidate will have a proven track record of effectively managing a busy workload and providing high-level administrative support to executives.

Key Responsibilities:

  • Task Management: Assist the CEO in tracking all tasks and help to share the workload by prioritizing and delegating responsibilities.
  • Report Management: Handle incoming reports, create reports, and follow up with stakeholders as needed.
  • Meeting Support: Attend CEO meetings, take minutes, and track the topics of discussion to report back on the completion status based on actionable items assigned to each person.
  • Administrative Tasks: Manage a wide range of administrative tasks, including email correspondence, making reservations, travel arrangements, personal expenses reports, and coordinating with HODs and other staff.
  • Inventory Management: Conduct weekly stock takes of all equipment and keep a good inventory of all items by creating serialized numbers.
  • Research Requirements: Complete research requirements and handle tasks as needed.
  • Productivity: Maximize automation and productivity to support the CEO in achieving their goals.

Requirements:

  • Proven experience as an executive assistant or in a similar administrative role. Excellent organizational and time management skills.
  • Strong attention to detail and ability to multitask.
  • Ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office and Google Suite.
  • Ability to work independently and as part of a team.
