Senior Manager, Project Management

Job description:

Cactus Life Sciences partners with global biopharma to drive innovation and improve patient outcomes through agile, science-driven medical communications — transforming complex data into actionable insights.
As a growing scientific communications agency, we are looking for a driven leader to manage and support our project management workstream. In this role, you will lead a small team, manage diverse stakeholders, maintain full visibility of on-going projects, and ensure all outputs are delivered to the highest quality.
Please note: We are a remote-first organization, and we embrace an "accelerate from anywhere culture". For this role, we are looking for candidates based in Bangalore, as you will be expected to visit the client office once a month.

Job responsibilities:

Project Management

• End-to-end project management from project initiation to closure by understanding the scope, determining the resource and developing the project schedule
• Take ownership of project delivery by translating client briefs into clear direction for writers and content teams
• Set and develop the operational aspects of the project, develop and monitor timelines, milestones and project metrics
• Manage assigned projects effectively to ensure on-time delivery within budget
• Identify project risks and work with cross-functional teams to develop mitigation strategies for smooth delivery

Team Management

• Manage assigned account teams while fostering a culture of growth and development within the team
• Lead and inspire team members through strong role modelling and exceptional performance
• Provide regular feedback and coaching to help team members improve their capability and productivity

Collaboration

• Work closely as part of project teams, and maintain strong relationships with key internal and external stakeholders
• Participates in project activities, support team initiatives, and suggest ways to improve processes
• Facilitate resolution of any issue by interacting with cross-functional teams

Process

• Ensure projects are delivered on time, within plan, and to the required quality standards
• Ensure established policies and procedures of the organization are followed
• Monitor capacity utilization on projects
• Audit project documentation to ensure compliance and maintain operational database like SharePoint and Datavision

Financial Management

• Responsible for SOW preparation, quotation, RFP response preparation
• Be responsible for ensuring timely & correct invoicing based on agreed milestones & customer preference
• Maximize PO utilization by recommending tactics for clients
• Monitor scope changes and work with respective account manager/sales colleagues to close the loop with respective clients by raising change requests
• Control the project and monitor MIS, Invoicing, consultant costs, cash flow etc.
• Meet all monthly reporting/business metrics/KPI requirements and manage internal processes

Client delivery and stakeholder management

• Understand client expectations both at a macro and micro level and transfer client perspective to the team
• Build productive and influential relationships with key client stakeholders
• Drive governance meetings with client Senior Leadership teams, and present data on pre-defined metrics
• Understand and manage client expectations regarding scope and timelines
• Ensure workflow processes are agile to respond to changes in the client’s expectations or environment

Qualifications and prerequisites:

• Degree in Life Sciences/ Pharma (MBA preferred)
• 8 years of client servicing and project management experience within a pharma company or medical communications agency
• Experience of working with western client is highly preferred
• Must have management and/or leadership experience
• Strong domain understanding and expertise
• Excellent attention to detail with strong interpersonal and leadership skills
• Excellent written and verbal communication skills with an ability to manage tough clients/business situations
• Expertise in project management tools like SharePoint, MS Business Central, Datavision & Pub Strat tool
• Candidate with skills around AI usage in day to day workstream is preferred
• PMP certification preferred
