Sales Assistant (CRM, Scheduling & Sales Operations Support)

Job Type: Full-Time, Remote
Working Hours: U.S. Business Hours

About the Role

We’re hiring a highly organized and detail-oriented Sales Assistant to support sales operations, CRM management, scheduling, reporting, and proposal coordination.

In this role, you’ll help keep the sales team organized, efficient, and focused on closing opportunities by managing administrative and operational tasks that support the sales process.

Key Responsibilities

CRM Management

  • Maintain accurate and up-to-date records within CRM platforms such as Salesforce, HubSpot, Zoho CRM, or Pipedrive.
  • Update leads, contacts, opportunities, and pipeline stages.
  • Monitor data quality and perform regular CRM clean-up.
  • Identify and resolve duplicate, incomplete, or outdated records.
  • Ensure CRM data remains accurate and reporting-ready.

Scheduling & Sales Coordination

  • Schedule sales calls, demos, follow-up meetings, and internal discussions.
  • Coordinate calendars across multiple time zones.
  • Manage scheduling through tools such as Google Calendar, Outlook, and Calendly.
  • Ensure sales representatives have meeting agendas, materials, and relevant context.
  • Handle scheduling conflicts, reschedules, and meeting reminders.

Proposal & Document Support

  • Prepare, format, proofread, and organize:
    • Sales proposals
    • Quotes
    • Presentations
    • Client-facing documents
  • Assist with RFP and RFI responses using approved templates.
  • Create and update materials using:
    • Google Slides
    • PowerPoint
    • Canva

Reporting & Sales Metrics

  • Generate weekly and monthly sales reports.
  • Track pipeline activity, conversion rates, and key sales KPIs.
  • Maintain dashboards and reporting visibility for leadership.
  • Ensure reporting accuracy and consistency across systems.

Communication & Follow-Up

  • Draft and send professional follow-up emails, reminders, and meeting summaries.
  • Support inbound lead routing and response coordination.
  • Ensure timely communication with prospects and internal stakeholders.
  • Help maintain momentum throughout the sales process.

Cross-Functional Coordination

  • Collaborate with sales, marketing, finance, and operations teams.
  • Coordinate lead handoffs and internal approvals.
  • Support contract processing and customer onboarding workflows.
  • Help eliminate communication gaps and operational delays.

Requirements

Required Qualifications

  • 1–2 years of experience in:
    • Sales Support
    • Administrative Support
    • Operations Coordination
    • Executive Assistance
  • Experience working with CRM platforms such as Salesforce, HubSpot, Zoho CRM, or Pipedrive.
  • Proficiency with Google Workspace or Microsoft Office.
  • Strong written English communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines.
  • Comfortable working remotely during U.S. business hours.
