Vortex is the leader in Doors/Security Products, Storefront Glass/Glazing, Access Controls and Material Handling Equipment for Commercial, Industrial and Retail Facilities.


Due to our continued expansion and growth, we now have an opportunity for a HR and Payroll Specialist (On site in Irvine, CA). This position is responsible for executing some of the day-to-day payroll operations and HR operations. The incumbent is responsible for preparing and processing the weekly//bi-weekly payroll for approximately 300 employees, reviewing and ensuring the accuracy of approved timesheets and payroll deductions, and documenting and updating the payroll procedures to ensure the accurate processing and recording of the Company’s payroll information.


Duties and Responsibilities

· Maintain payroll information by collecting, calculating, and entering data.

· Prepare, process, transmit, audit, and distribute the weekly//biweekly payroll through the HRIS.

· Perform all activities necessary to process multiple payrolls, and preparing special reports for management.

· Resolves payroll discrepancies by running reports, answering questions, and responding to requests for payroll information.

· Implement and assure compliance with wage and hour laws and company payroll policies.

· Provide support to human resources, corporate accounting, and payroll-related and tax-related vendors.

· Ensure the accuracy, validity, and timeliness of all payroll-related tax filings and tax issuances (such as the annual W-2s).

· Liaison with external auditors on annual payroll-related audits.

· Work closely with the HR Staff in managing time and attendance for employees on Leave.

· Prepare, review, and reconcile company payroll-related billings and submit for payment on time.

Work Schedule

· Shift 8:00 am - 5:00 pm Monday through Friday

· Position requires you to be available to work in an office setting, this is not a remote opportunity

Requirements
  • 3-7 years of experience with processing payroll.
  • Exceptional knowledge and experience processing payroll for multiple companies, multiple states, and varied compensation packages.
  • Knowledge of Prevailing Wage a plus.
  • Strong written and verbal communication skills to effectively communicate with all levels of staff.
  • Strong ability to work effectively and efficiently in a multi-project, multi-demand environment.
  • High level of organizational skills and attention to detail with strong ethics to maintain strict confidentiality.
  • Proficient in Microsoft Office programs and payroll systems required. Experience with Paylocity a plus.
