As an IT Asset Management Specialist, you will play a pivotal role in managing the company's IT assets (both hardware and software) throughout their lifecycle. What you’ll do:
Inventory Management
- Maintain an accurate and up-to-date inventory of all IT assets, including hardware, software, and licenses
- Implement and maintain an effective asset tracking system to monitor asset locations, usage, and conditions.
- Collaborate with relevant stakeholders to forecast future asset needs based on business requirements and growth projections.
- Ensure proactive planning and budgeting for asset acquisitions and replacements.
Asset Logistics Management
- Process asset deployment/retrieval via incident and request tickets.
- Coordinate with vendors for processing of the physical deployment and retrieval of the assets.
- Follow up, track, and escalate as needed to ensure completeness of the task.
- Provide significant update to end users.
- Updating asset status in the records.
Asset Lifecycle Management
- Collaborate with IT support teams to facilitate asset maintenance, repairs, and upgrades as needed.
- Ensure that assets are functioning optimally to support business operations.
- Assess the need for the repair of assets based on Its warranty or cost If out of warranty.
- Track its status until Its return to warehouse for redeployment/disposal.
- Manage the entire lifecycle of IT assets from acquisition to disposal.
- Plan and coordinate the procurement of new assets and the retirement of old ones.
- Coordinate the procurement process for new assets, ensuring timely delivery and proper configuration.
Audit, Compliance, and Licensing
- Ensure compliance with software licensing agreements and avoid penalties for overuse.
- Monitor and manage software licenses to ensure proper utilization and compliance with vendor agreements.
- Conduct periodic audits, including physical audits if required, to verify asset data accuracy and identify discrepancies.
Cost Management
- Track and analyze the total cost of ownership (TCO) for IT assets.
- Identify cost-saving opportunities and negotiate with vendors for better pricing and terms.
Documentation, Policies, and Procedures
- Maintain thorough documentation of all IT asset management activities, including acquisition, deployment, maintenance, and disposal records.
- Ensure documentation is easily accessible and up to date.
- Develop and enforce IT asset management policies and procedures.
- Ensure that all IT asset management practices align with organizational goals and regulatory requirements.
- Automate whenever possible the processes and workflows.
Security and Risk Management
- Implement and maintain security measures for IT assets to protect against loss, theft, and unauthorized access.
- Conduct regular audits and risk assessments to identify vulnerabilities and ensure the security of IT assets.
Reporting and Analysis
- Generate reports on IT asset status, usage, and lifecycle for stakeholders including C- Level.
- Analyze data to identify trends, inefficiencies, and areas for improvement.
- Ability to explain and present the report whenever needed.
Training and Helpdesk Support
- Assist the helpdesk team during periods of low asset management activity by addressing incident or request tickets in the queue.
- Provide timely resolution or escalation of issues to ensure minimal disruption to end-users.
- Address user issues and inquiries related to IT assets.
- Provide training and support to staff on IT asset management processes and best practices.
Exit Clearance Preparation
- Prepare data for IT Managers before clearing an exiting employee's clearance form, ensuring all assigned assets are properly accounted for and managed according to company policies.
