Role Overview

  • As our US Senior Executive Operations Assistant, you'll be the trusted partner behind high-performing leaders, ensuring priorities stay on track, communication flows smoothly, and critical business activities move forward without unnecessary friction.
  • This role sits at the intersection of executive support, operations, project coordination, and stakeholder management. If you enjoy staying ahead of the curve, solving problems before they surface, and helping executives focus on what matters most, this could be the perfect opportunity for you.
Key Responsibilities:
  • Manage complex executive calendars, schedules, and competing priorities.
  • Protect executive focus time and proactively resolve scheduling conflicts.
  • Coordinate domestic and international travel arrangements and logistics.
  • Draft, organize, and manage executive communications.
  • Prepare meeting agendas, presentations, and supporting documentation.
  • Capture meeting notes, action items, and follow-up commitments.
  • Coordinate communication with internal and external stakeholders.
  • Support leadership meetings and recurring operational activities.
  • Assist with project coordination, tracking, and reporting.
  • Maintain business processes, systems, and documentation.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Anticipate operational challenges and proactively implement solutions.

Requirements

Required Qualifications (Must-Have):
  • Minimum 5 years of Executive Assistant, Executive Operations, or related experience.
  • Experience supporting senior leaders, founders, or executive teams.
  • Advanced calendar management and scheduling experience.
  • Experience coordinating domestic and international travel.
  • Strong written and verbal communication skills.
  • Ability to manage multiple stakeholders and competing priorities.
  • Experience with project coordination and operational support activities.
  • Proficiency with modern workplace and collaboration tools.
  • Strong organizational, time management, and problem-solving skills.
  • Ability to work independently in a fast-paced environment.
  • High level of professionalism, confidentiality, and discretion.
Preferred Qualifications (Nice-to-Have):
  • Experience supporting C-Suite executives.
  • Experience working in high-growth or fast-paced business environments.
  • Exposure to process improvement and operational optimization initiatives.
  • Experience supporting US-based leadership teams.
  • Experience with some or all of the following tools will be highly regarded:
    • Google Workspace
    • Slack
    • Microsoft Teams
    • Zoom
    • Asana or similar project management platforms.
    • HubSpot, Zoho, or comparable CRM systems.
    • Canva
    • LinkedIn

    • Stretty (or similar business operating systems).
