Job description

We are looking for a Virtual Assistant to support a Hong Kong-based family with household management, personal administration, and light business tasks. This role is primarily family-facing (approximately 80%) with some business support (approximately 20%). You will be the operational backbone for a busy household with two kids, handling everything from school applications and travel bookings to utility payments and government document coordination.

This is not a role for someone who needs hand-holding or a defined playbook. You will be expected to figure things out, move quickly, and take ownership of tasks from start to finish without being followed up. If you are resourceful, highly organized, and thrive in an environment where no two days look exactly the same, this role is a strong fit.

What You'll Work On

Family and Household Management

  • Manage school applications, enrollment processes, and holiday camp registrations for two children
  • Research kids' playgroups, extracurricular activities, and family-friendly programs
  • Handle online grocery shopping, household supply orders, and recurring personal errands
  • Pay monthly utility bills and manage recurring household payments on time
  • Coordinate and track household tasks, appointments, and family schedules

Travel and Logistics

  • Research family holiday destinations and compile options with clear recommendations
  • Book hotels, transportation, and activities based on family preferences and budget
  • Manage itinerary changes, cancellations, and last-minute logistics without prompting

Government and Document Coordination

  • Support tax filing preparation including document gathering, form preparation, and coordination with the family's accountant or tax advisor
  • Assist with government document filings, renewals, and administrative requirements
  • Track deadlines for filings, renewals, and compliance requirements and flag them proactively

Business Support

  • Assist with business-related research, correspondence, and administrative tasks as needed
  • Support scheduling, inbox management, and other operational needs for the family's business activities
  • Handle ad hoc tasks and projects as they arise with speed and reliability

What You Bring

  • Proven experience in household management, personal assistant, or executive assistant roles supporting a family or high-demand individual
  • Highly resourceful with a strong ability to figure things out independently and find solutions without being directed
  • Excellent organizational skills with the ability to manage multiple priorities, deadlines, and platforms simultaneously
  • Strong written and verbal English communication skills
  • Comfortable handling sensitive personal, financial, and government-related information with complete discretion
  • Tech-savvy and comfortable learning new tools, platforms, and workflows quickly
  • Proactive, reliable, and responsive with a strong sense of ownership and follow-through
  • Available during Hong Kong business hours on a full-time basis

Nice to Have

  • Experience supporting families based in Hong Kong or familiar with HK government processes and document requirements
  • Familiarity with HK utility providers, school application processes, or local service platforms
  • Experience coordinating with accountants, lawyers, or other professional service providers on behalf of a principal
  • Background supporting both personal and business needs for a single client or family
  • Experience with travel research and booking across Asia-Pacific destinations
