Job Summary This company is a premier holistic health and wellness clinic in Hawaii with a 38-year legacy of transforming lives through naturopathic medicine, acupuncture, and traditional wellness practices. We are seeking a high-energy, proactive Patient Care Coordinator to serve as the primary point of contact for our patients. This is not just a "reception" role; you are the bridge between a patient’s health struggle and their path to healing. Your goal is to manage high-volume outreach, build instant rapport, and ensure that every individual seeking care is successfully booked and confirmed. Key Responsibilities

  • Manage a high volume of outbound and inbound activity, maintaining a standard of 150+ dials per day to new leads, existing patients, and follow-ups.
  • Serve as the first point of contact, answering all incoming calls with a professional, warm, and authoritative voice.
  • Schedule and book appointments for a wide range of services, including IV Therapy, Acupuncture, and General Naturopathic consultations.
  • Proactively follow up on website leads and re-engage former patients to ensure continuity of care.
  • Handle common patient objections regarding pricing, insurance, and decision-making with empathy and confidence.
  • Maintain meticulous records in Google Sheets and Google Calendar to ensure the clinic schedule is optimized.
  • Execute text and email follow-up sequences to minimize no-show rates and keep the patient pipeline moving.

Requirements

  • Proven experience in appointment setting or high-volume outbound calling.
  • Exceptional verbal communication and a "strong" phone presenceβ€”must speak clearly and professionally.
  • Active listening skills; the ability to have authentic conversations without sounding robotic or script-dependent.
  • Experience handling sales objections (e.g., "It’s too expensive" or "I need to think about it") while maintaining a helpful, consultative tone.
  • High organizational discipline with the ability to take detailed notes and manage daily tasks independently.
  • Availability to work 8:00 AM to 5:00 PM Hawaii Standard Time (HST).
  • A high-energy personality with a natural ability to motivate others and build trust quickly.

Nice-to-Haves

  • Previous experience as a receptionist or coordinator in a medical or wellness clinic.
  • Familiarity with Keap Pro or similar CRM software.
  • Knowledge of or interest in Naturopathic Medicine and holistic health practices.
  • Sales experience in a service-based industry.
