Job Summary:
The Senior Executive Recruitment Coordinator provides high-level coordination and operational support for executive recruitment. This role is responsible for managing complex interview logistics, coordinating executive candidate experiences, supporting executive recruitment leadership, and ensuring searches are executed in a highly organized, confidential, and professional manner. The ideal candidate is exceptionally detail-oriented, service-focused, and capable of managing multiple high-profile searches.
Job Duties:
- Manages and coordinates complex executive search logistics across multiple concurrent searches while maintaining exceptional accuracy, responsiveness, and attention to detail.
- Demonstrates a strong sense of urgency and accountability in managing executive recruitment activities, timelines, scheduling requests, and candidate communications.
- Proactively tracks interview progress, scheduling milestones, candidate movement, and outstanding action items to ensure searches move forward efficiently and without delays.
- Partners closely with executive administrative partners and internal stakeholders to coordinate availability and calendar management for those involved in the interview process.
- Anticipates scheduling conflicts and proactively identify solutions to maintain momentum throughout the executive search process.
- Maintains highly organized search documentation, schedules, candidate records, itineraries, and recruitment materials throughout all phases of the executive search process.
- Monitors and manages competing priorities while adapting quickly to changes in executive schedules and recruitment timelines.
- Ensures a high-touch, professional, and welcoming candidate experience for executive-level candidates.
- Maintains strict confidentiality regarding candidate information and executive searches.
- Develops comprehensive candidate itineraries for virtual and onsite interviews, ensuring accuracy, professionalism, and clear communication.
- Coordinates onsite executive candidate visits, including travel arrangements, lodging accommodations, transportation services, meals, meeting logistics, etc. .
- Manages and maintains executive recruitment budget tracking, including monitoring spend, maintaining active vendor contracts, and supporting invoice and expense oversight.
- Anticipates candidate and stakeholder needs to ensure seamless and well-coordinated recruitment experience.
- Maintains strict confidentiality regarding candidate information and executive searches.
- Provides timely, professional, and proactive communication regarding interview schedules, candidate updates, travel arrangements, and search logistics.
- Partners closely with executive administrative assistants to obtain availability, coordinate complex calendars, and resolve scheduling conflicts for senior leaders and interview panels.
- Accommodates changing business needs and last-minute scheduling adjustments common within executive recruitment.
- Ensures all interview participants receive accurate and timely interview materials, itineraries, and meeting details in advance of scheduled interviews.
- Follows up consistently with stakeholders to secure interview feedback, scheduling responses, and required search-related information in a timely manner.
