Executive Assistant (Part time)
Part-Time | Fully Remote
Working Hours: 4 hours per day, Monday–Friday (aligned to UK business hours)
We are looking for a highly organised, proactive, and adaptable Executive Assistant to support a busy Managing Director within a fast-paced and growing business.
This is a varied, hands-on role that goes far beyond traditional diary management. You’ll become a key support function across operations, administration, project coordination, and day-to-day business activities, helping bring structure, organisation, and efficiency to a dynamic environment.
The ideal candidate will be confident juggling multiple priorities, comfortable working independently in a remote setting, and naturally proactive when it comes to solving problems and keeping things moving.
Key Responsibilities
Executive & Administrative Support
Full diary and calendar management, including scheduling and coordinating meetings
Monitoring emails, drafting responses, and managing incoming communications
Acting as a key point of contact and gatekeeper for the Managing Director
Taking messages, tracking actions, and ensuring follow-ups are completed
Managing travel arrangements, bookings, and scheduling where required
Business & Operational Support
Supporting the Managing Director with day-to-day business coordination and administration
Assisting with project-related administration and ensuring processes are followed
Coordinating meetings, preparing notes, and maintaining clear action trackers
Managing and organising documentation, records, and internal systems
Maintaining structured task lists and workflow tracking using internal tools
Supporting operational reporting, research, and business improvement initiatives
Assisting with supplier coordination, invoice reviews, and general administrative tasks
Conducting research on products, technologies, suppliers, and industry trends
Providing ad hoc support across wider operational and strategic initiatives
Design & Project Coordination Support
Coordinating design and project-related meetings
Managing document version control and ensuring information is kept up to date
Acting as a communication link between internal teams and external stakeholders
Supporting project timelines, submissions, and administrative project processes
Personal Assistant Support
Managing personal diary commitments alongside business priorities
Organising travel, appointments, and personal scheduling
Assisting with household administration and routine personal tasks
Helping create structure and time management around both work and personal commitments
What We’re Looking For
Previous experience as an Executive Assistant, Personal Assistant, or in a similar coordination role
Exceptional organisational skills with the ability to manage multiple priorities simultaneously
Strong written and verbal communication skills
Highly proactive with a solutions-focused mindset
Able to work independently and confidently in a fully remote environment
Strong attention to detail and excellent follow-through
Comfortable working in a fast-paced business where priorities can shift quickly
Tech-savvy and confident using digital systems, CRMs, and task management tools
Professional, discreet, and highly dependable
Commercial awareness and a strong understanding of business operations are advantageous
Desirable Experience
Experience supporting a Managing Director or senior executive
Exposure to project coordination, operations, or technical environments
Basic bookkeeping or financial administration experience
Experience using workflow or task management platforms such as Motion or similar tools
