Job Role: Student Support Services Officer

Compensation range: $1,500 AUD - $2,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We are seeking a highly organised Student Support Services Officer to provide administrative and operational support in a fast-paced education environment. This role is primarily focused on coordinating student-related processes, including attendance monitoring, practical placement arrangements, and ongoing student support through written communication. The ideal candidate is proactive, detail-oriented, and capable of using sound judgment to troubleshoot issues and escalate concerns when needed.

Key Responsibilities: 

  • Monitor and verify student attendance records daily within the learning management system (LMS)
  • Review attendance submissions from trainers and ensure records are accurate, complete, and up to date
  • Coordinate practical placement arrangements by liaising with external facilities and stakeholders
  • Send placement requests, manage placement-related communications, and track confirmations through email and placement platforms such as PlaceRight
  • Maintain and organise placement agreements, student records, and supporting documentation
  • Provide timely support to students primarily via email, text, and digital communication platforms
  • Respond to student enquiries regarding attendance, placements, and general administrative concerns
  • Identify issues, resolve routine concerns independently, and escalate more complex matters appropriately
  • Ensure accurate data entry, record-keeping, and compliance with internal administrative processes

Requirements

  • Previous experience in administrative support, student services, education coordination, or a similar role
  • Strong written English communication skills, with confidence handling high-volume email correspondence
  • Excellent organisational skills and strong attention to detail
  • Experience managing administrative workflows, documentation, and data entry
  • Comfortable working with learning management systems, CRMs, or similar digital platforms
  • Strong problem-solving skills with the ability to exercise sound judgment independently
  • Ability to manage multiple priorities and work efficiently in a structured environment
  • Comfortable making occasional phone calls when required
  • Experience coordinating placements, scheduling, or stakeholder communication is highly preferred
  • Familiarity with placement coordination tools such as PlaceRight or similar scheduling/placement platforms is highly preferred
