Roles & Responsibilities

  • Minimum of 2 years of related registration management, attendee services, conference logistics, and event support from planning through execution
  • Experience supporting a team with strong organizational, communication, and interpersonal skills for event coordination (virtual and in-person)
  • Proficiency with CRM to track stakeholder lists; direct experience with Salesforce and/or Cvent is a plus; high proficiency with Microsoft Office Suite, Google Suite, and Asana
  • Experience in education or nonprofit environments preferred; ability to work remotely from California with occasional travel for in-person event support

Requirements:

  • Oversee all aspects of event registration to ensure a seamless experience for speakers, attendees, and staff; manage the New Event Process across calendars, Google folders, ASANA projects, Salesforce, and Vision Resource Center
  • Create, manage, and update team calendars, department manuals, shared folders, and all event-related records and programs; maintain an inventory tracker of event supplies
  • Manage the full registration lifecycle: launch, maintain, enable waitlists, close registration, manage event data for dashboards and year-end reports; handle badge production and packing for in-person events
  • Coordinate on-site registration activities: greet and check in attendees, process on-site payments, handle walk-ins, answer questions, and oversee on-site volunteers

We are seeking a Coordinator to join the Foundation in its mission of benefitting, supporting, and enhancing the California Community Colleges—the largest and most diverse system of higher education in the nation. What You’ll Do

The Registration Coordinator position is an excellent opportunity for an individual with strong organization, communication and interpersonal skills to provide support for the Foundation for California Community Colleges Conferences & Events team. The individual will collaborate with a diverse team of event specialists, technology specialists, and event coordinators to effectively support events for the Foundation, the Chancellor’s Office and other stakeholders. Key responsibilities are overseeing and ensuring all aspects of event registration are handled efficiently, guaranteeing a seamless experience for speakers, attendees, and staff.

  • Create, manage, and update the Team Calendars, Department Manuals, shared folders, and all event-related record-keeping files and programs.
  • Order, maintain, and manage inventory tracker stock of event supplies.
  • Assist with the collection and storage of event data to use for Dashboards and Year-End Reports.
  • Manage the New Event Process: Adding the event to all calendars, create Google event folder, create an ASANA project, add event in Salesforce and maintain throughout planning, add to Vision Resource Center (VRC) event calendar.
  • Manage data through the entire registration process: launch registration, maintain registration process, enable waitlist, close registration, manage data for the event, and utilize data for timing of event.
  • Manage all items related to registration such as merging name badges, printing, stuffing, prepping and packing event items for in-person events.
  • Manage on-site registration desk in use of OnArrival: greet and check in guests, process onsite payments, handle walk-in attendees and answer questions.
  • Management of all onsite volunteers – creating processes and documents for a smooth process onsite
  • Other duties as assigned.

Attributes for Success

  • Minimum of 2 years of related client-side experience focused on registration management, attendee services, conference logistics, and event support from planning through execution.
  • Minimum of 2 years of experience supporting a team.
  • Event Registration Experience (virtual and in-person)
  • Experience using CRM to track stakeholders lists; direct experience with Salesforce and/or Cvent is a plus.
  • Any experience in an education or non-profit environment is preferred.
  • Exemplary interpersonal skills, with the ability to represent the organization with professionalism and integrity and to develop, maintain, and promote strong internal and external relationships
  • Ability to organize event details such as catering, location, invite lists, special guests, technology set-up, and promotional materials
  • High proficiency with Microsoft Office Suite (specifically MS Word, Outlook, PowerPoint, and Excel), Google Suite, and Asana.

Budgeted Hourly Pay Range:

$24.04 - $26.44

Final salary and rates are based on education, experience, skills relevant to the role, and internal equity.
