Role Summary

In this role, you will own the COO’s systems roadmap and help decide what gets built, in what order, and how we will know it worked. You’ll be responsible for productionizing weekly reports moving from scripts, forms, and manual workflows to automated and governed systems. You will be in the day-to-day building work - using various applications to configure what is needed. At the end of the day, you will own the end-to-end product outcomes, not just the build. You will ensure our systems are working and getting used!


Job Duties & Responsibilities

  • Own the COO operational systems roadmap. You translate COO priorities and internal operating needs into a prioritized backlog of system improvements. You define what gets built, in what order, with what acceptance criteria, and how success will be measured. The CIO owns architecture and governance; you own day-to-day product execution for internal operational systems.
  • Productionize Weekly Pulse, WEIR/WOIR, and Division Health Reports. Today these depend on a mix of scripts, forms, SharePoint workflows, manual review, and executive synthesis. Your job is to help convert them into governed, scalable systems with clear intake, data contracts, quality checks, human gates, and operational reliability. You will partner with the Senior Data Engineer on the data layer and external engineering partners on application modules when needed.
  • Build the Management Follow-Through System. Executive decisions, COO priorities, and manager commitments need to be tracked, surfaced, and followed up on. You will design and build, or commission, the system that converts meeting outputs into tracked follow-through, with reminders, escalation paths, status visibility, and executive review.
  • Build internal AI assistants and AI-assisted workflows. Managers should be able to ask 'what did we decide about X?', 'what are my open commitments?', or 'what needs my attention this week?' and get a useful answer. You will design internal AI assistants on top of decision logs, operational data, SOPs, knowledge repositories, and approved company sources.
  • Write clear requirements for external engineering partners. When operational systems need custom application modules, .NET / React development, workflow extensions, or dashboard features, you write the brief, define acceptance criteria, review the output, test the workflow, and own rollout. External engineering partners may build the software; you own the internal product outcome.
  • Build directly on Microsoft 365 and Power Platform where appropriate. Not every operational improvement needs custom software. SharePoint lists, Power Automate flows, Power Apps, Microsoft Forms, Planner, and Teams workflows can solve a surprising amount when designed well. You decide when to configure, when to build, and when to commission custom development.
  • Drive adoption. A system that does not get used is a failed system. You own rollout, training, change management, adoption metrics, and feedback loops for the internal systems you ship.
  • Coordinate data contracts with the Senior Data Engineer. Operational systems consume data from the warehouse and produce operational data back into it. You will partner with the Senior Data Engineer to define the data contracts that make that exchange reliable.
  • Document everything. Operational systems live or die on documentation. You will own SOPs, runbooks, requirements documents, system architecture notes, decision records, adoption playbooks, and handoff materials for every system you ship.

Qualifications & Skills

Required

  • 7-10+ years of professional experience designing, building, and operating internal business systems, workflow automation, product-engineering systems, or business process automation platforms.
  • 3+ years as a senior internal owner of operational systems, business applications, workflow automation, or internal product systems at a growing company.
  • Strong Microsoft 365 and Power Platform experience: SharePoint, Power Automate, Power Apps, Microsoft Forms, Teams, and Planner.
  • Experienced in building production-quality workflows directly in Power Platform, not just configuring simple flows.
  • Demonstrated experience integrating AI / LLMs into internal workflows: knowledge search, decision support, document automation, summarization, commitment tracking, or AI-assisted user experiences.
  • Production-level proficiency in C# and/or Python for custom integration work, automation, API calls, scripting, and light services.
  • Ability to read and review .NET / React / workflow-oriented technical output well enough to write requirements, identify risks, and accept or reject work from external engineering partners.
  • Working data literacy: SQL, basic data modeling, integration patterns, reporting datasets, and the ability to define data contracts with a data engineering counterpart.
  • Strong product and requirements skills. You have demonstrated the ability to translate executive needs into a concise written brief that an engineer, vendor, or stakeholder can understand.
  • Demonstrated stakeholder management with executive-level partners. You have worked directly with a COO, CIO, CFO, CEO, or similar senior leader without needing layers of management.
  • Track record of change-management. You can name systems you shipped that achieved actual adoption, and explain what it took to get there.
  • Strong written communication including documentation, system notes, SOPs, decision records, and adoption materials.

Preferred

  • Experience with Microsoft 365 governance.

Pay Range: $75,000 - $100,000 DOE

Hours: Available during established business hours: Monday – Friday, 9am – 6pm EST
