  • 5+ years as a Transaction Coordinator with 200+ files closed
  • Multi-state experience in CA (CAR), TX (TREC), or FL (FR/Bar); at least one state required, two+ ideal
  • Hands-on expertise with dotloop, SkySlope, and TransactionDesk; able to build workflow templates from scratch
  • Strong understanding of post-NAR-settlement compliance and unlicensed-assistant rules; ability to train others to stay compliant

Requirements:

  • Build and deploy the TC service: convert the six-stage SOP into live workflows in dotloop, SkySlope, and TransactionDesk; create state-specific document checklists; refine email/SMS templates; stress-test AI extraction; develop the Phase 1 Intake Specialist playbook; validate the compliance framework
  • Hire and train the team: screen/offshore TC candidates; lead training on SOP, email library, compliance tests, and communication scripts; build the QC framework and broker-side compliance reports
  • Oversee live service: act as senior TC reviewer on all active files during pilot; audit communications for compliance; coach line TCs on edge cases; refine the SOP based on live learnings
  • Scale with the program: as we move toward Phase 4, transition to permanent TC Operations Lead responsibilities and help stand up remaining infrastructure (e.g., AWS WorkSpaces) as we scale to 1000+ agent partners

Summary


The Project

We're a US-licensed brokerage and business development company partnering with high-producing agents ($5M–$25M annual sales) in the United States. We're launching a national TC service as a wedge product within our broader agent platform.

We have the architecture, legal framework, software stack, and AI-assisted intake skill built. We need a seasoned TC professional to operationalize it — turn the blueprint into running daily workflows, train the first cohort of TCs, and oversee the first 30–60 days of live service.

This is not a "do TC work" role. This is a "build the TC service" role.

What You'll Do
Phase 1 — Build (Weeks 1–4)
• Convert our six-stage SOP into live workflow templates in dotloop, SkySlope, TransactionDesk
• Build state-specific document checklists (CA pilot first, then TX and FL)
• Refine our 14-email + SMS template library based on real-world TC experience
• Stress-test our Claude AI extraction skill against 20+ contracts
• Build the Stage 1 Intake Specialist playbook
• Validate our compliance framework — tell us what we got right and what's missing

Phase 2 — Hire & Train (Weeks 4–8)
• Screen and interview offshore TC candidates
• Lead training: SOP, email library, compliance test, communication scripts
• Build the QC framework and broker-side compliance reports

Phase 3 — Oversee Live Service (Weeks 8–16)
• Senior TC reviewer on every active file during pilot
• Audit communications for compliance
• Coach line TCs on edge cases in real time
• Refine the SOP based on live-file learnings

Possible Phase 4 — Permanent TC Operations Lead role overseeing the team as we scale to 1000+ agent partners.
Required
• 5+ years as a TC, 200+ files closed
• Multi-state experience in CA (CAR), TX (TREC), or FL (FR/Bar) — at least one required, two+ ideal
• Hands-on expert with dot loop, SkySlope, and TransactionDesk — able to build workflow templates from scratch
• Deep familiarity with post-NAR-settlement compliance (buyer-broker agreements, MLS rule changes)
• Strong grasp of unlicensed-assistant rules — what a TC can and cannot do, and how to train others to stay inside the line
• English fluency, written and spoken
• Experience training or supervising other TCs
• High speed Internet from Residence

Strongly preferred: AI-assisted document extraction experience, offshore team management, Zoho/ClickUp/Trackxi, brokerage compliance background, GLBA/NPI handling knowledge.

Bonus: Active or inactive real estate license in CA/TX/FL. Familiarity with FREC enforcement or California's June 2025 DRE/DFPI Joint Advisory.

What Makes This Role Different
• Most infrastructure is documented and ready. 50+ page master blueprint, six-stage SOP, CA/TX/FL compliance framework, in-house counsel resource, Zoho orchestration layer, Claude AI extraction skill, encrypted document storage, business phone provisioning.
• One major piece is still in build: the US-based AWS WorkSpaces virtual desktop layer that every TC (offshore or onshore) will operate from. That's the planned architecture but not yet deployed. Helping us spec and stand it up cleanly during Phase 1 is part of the role.
• You'll have authority. We expect pushback. Telling us where the SOP is wrong, where templates miss real edge cases
