Job Role: Marketing & Events Coordinator

Compensation range: Up to $1,500 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: The client is an Australia-based B2B events company producing a portfolio of flagship annual conferences for senior leaders across the region. Their events bring together decision-makers from some of the largest organisations in Australia across sectors such as technology, customer experience, marketing, and people. 

Focused on high-level peer exchange, they design curated, content-led conferences that connect industry leaders, enable strategic discussions, and foster meaningful connections that drive innovation and business growth.

Role Overview: The Marketing & Events Coordinator is a central operational role supporting the delivery and growth of a portfolio of B2B events. Positioned at the intersection of marketing operations, sales support, and event execution, this role ensures that systems, data, and processes run efficiently across a multi-event annual calendar.

This is a hands-on, detail-driven position responsible for maintaining CRM integrity, managing sponsor and delegate data, supporting digital platforms, and delivering accurate reporting. The role requires a proactive, tech-savvy individual who can take ownership of processes end-to-end, adapt quickly, and leverage AI tools to improve efficiency and output quality.

Key Responsibilities:

  • Maintain and clean Capsule CRM by ensuring accurate, standardised contact and organisation records, including deduplication, data enrichment, tagging, and regular database updates
  • Manage CRM workflows such as importing post-event data, building segmented lists, and creating and closing sponsorship opportunities to support sales follow-up
  • Maintain structured sponsor and event data in Excel trackers (e.g., seating, VIP dinners, roundtables) and produce post-event sponsor networking summaries
  • Support updates to Sales Prospectus materials, including sponsor and delegate logos, advisory board details, and testimonials
  • Build and maintain WordPress event pages (speaker, agenda, sponsorship, advisory board, and thank-you pages), ensuring accuracy, brand consistency, and mobile responsiveness
  • Create and manage Wufoo forms for RSVPs, speaker applications, and sponsor enquiries, including setup, testing, and data extraction
  • Process invoicing and supplier billing in Xero, including delegate invoices, client setup, bill entry, payment tracking, and reconciliation support
  • Produce post-event reporting such as delegate demographics, revenue tracking, survey insights, and year-on-year performance analysis using Excel
  • Develop forward-looking revenue trackers for sponsorship and ticket sales
  • Conduct delegate research and data enrichment using CRM history, LinkedIn, and tools such as Hunter or Apollo to verify and update contact information
  • Clean, segment, and tag delegate lists for targeted sales and marketing campaigns, including resolution of bounced emails
  • Provide general administrative and data support including Excel/CSV cleaning, CRM exports, shared drive organisation, and report formatting
  • Use AI tools to streamline data processing, reporting, communication drafting, and workflow automation to improve efficiency and accuracy

What Success Looks Like

30 days

Fully onboarded across core systems and platforms, familiar with key workflows, and able to complete tasks independently with minimal errors.

90 days

Taking ownership of marketing and event coordination during an active event cycle, identifying gaps, and proactively improving processes and execution.

6 months

A reliable and trusted operator who consistently delivers accurate data, high-quality outputs, and end-to-end ownership of marketing campaigns and event coordination across the full events calendar.

Requirements

  • Proven experience in event operations, marketing coordination, or a data-intensive administrative role
  • Advanced Excel skills (e.g., pivot tables, lookups, data cleaning, reporting)
  • Familiarity with CRM systems and digital platforms (Capsule CRM, WordPress, Wufoo, Xero preferred)
  • Strong written communication skills for professional correspondence and content
  • Demonstrated, hands-on use of AI tools (e.g., ChatGPT, Claude) in a work environment
  • High attention to detail with a strong commitment to data accuracy
  • Ability to manage multiple systems and priorities simultaneously
  • Proactive problem-solving mindset with a focus on solutions
