The Role:
We are seeking a highly organised, proactive, and confident Executive Assistant to the General Manager. This role combines high-level executive support with selective office and operational coordination to enable the effective, professional and efficient running of the business.
Acting as a trusted partner to the General Manager, the EA will manage complex diaries, support high-quality meetings and governance and ensure clear communication, prioritisation and follow through across key activities. This role is ideally suited to someone who thrives in a fast paced environment, demonstrates sound judgement and attention to detail and takes ownership for delivering outcomes with pace and discretion.
Key Responsibilities:
What you’ll do:
Executive & General Manager Support
• Provide comprehensive diary and calendar management, ensuring effective prioritisation and preparation.
• Arrange and manage national and international travel.
• Act as the first point of contact for the General Manager, handling calls, emails, and correspondence professionally and efficiently.
• Schedule and coordinate meetings, conference calls, and appointments, ensuring clear communication of arrangements.
Meeting & Action Management
• Coordinate and facilitate internal meetings, including preparation of agendas and presentations.
• Take accurate minutes and produce concise meeting notes with clear actions, owners, and deadlines.
• Track agreed actions, follow up on progress, and escalate issues where required to ensure completion.
• Maintain oversight of key meeting calendars and governance rhythms.
Calendar & Email Management
• Manage inbox correspondence, flagging priorities and drafting or responding where appropriate.
• Ensure scheduling is efficient, conflicts are minimised, and time is protected for priorities.
Reporting & Presentations
• Prepare professional PowerPoint presentations, executive reports, and meeting materials.
• Use data visualisation and formatting best practice to improve clarity and impact.
Data, Reporting & Insights
• Collect, organise, and analyse data to support executive decision-making.
• Produce clear, accurate reports with practical insights and recommendations.
Stakeholder & Communication Management
• Act as a liaison between executives and internal and external stakeholders.
• Draft correspondence, reports, and meeting documentation aligned to executive priorities.
Confidentiality & Compliance
• Handle sensitive business and personal information with the highest level of discretion.
• Ensure compliance with company policies and information security standards.
Events, Office & Operational Support
• Plan and coordinate logistics for meetings, events, and travel.
• Support office operations to ensure a well-organised, professional, and welcoming environment.
• Assist with administrative tasks, document management, and ad hoc projects as required.
Technology, Process Improvement & Problem Solving
• Leverage technology and systems to improve efficiency and executive productivity.
• Identify inefficiencies and proactively implement process improvements.
• Anticipate issues, resolve problems quickly, and propose practical solutions.
KPI’s:
• Diaries, meetings, and deadlines are effectively managed and consistently met.
• The General Manager’s schedule enables focus on priorities and preparedness.
• Meeting actions are tracked, completed, or escalated in a timely manner.
• Communication is clear, professional, and responsive.
• Administrative work is accurate, thorough, and reliable.
• Support contributes to better meeting outcomes and stronger internal communication.
What we’re looking for:
Skills/Experience:
• Proven experience in a Personal Assistant, Executive Assistant, or senior administrative role.
• Excellent communication, interpersonal, and organisational skills.
• Strong attention to detail with the ability to juggle multiple tasks and priorities calmly.
• Confident in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with Teams or Zoom desirable.
• Discreet and trustworthy with sensitive information.
• A proactive mindset and the ability to work both independently and collaboratively.
Desirable:
• Experience supporting senior leadership within a fast-paced SME or global organisation.
• Experience preparing formal documents, board packs, or professional presentation decks.
• Knowledge of meeting governance, action tracking or project coordination is a plus.
