The Role: 

We are seeking a highly organised and detail-oriented Brand & IP Coordinator to support the management of our global intellectual property portfolio and brand governance processes. 

This role sits within the marketing function and will play a critical part in ensuring consistency, compliance, and protection of all OX Group brands, sub-brands, and product ranges across all regions (ANZ, EU, NA). 

The successful candidate will coordinate trademark activities, support packaging compliance initiatives, and act as a central liaison between internal stakeholders and external legal counsel. 

Key Responsibilities: 

What you’ll do: 

Trademark & IP Coordination 

• Maintain and manage a centralized global trademark register  
• Track renewals, deadlines, and filings across all regions  
• Coordinate with external legal counsel on:  

          - Trademark filings  

          -  Renewals  

          -  Oppositions and disputes  

• Support ongoing IP audits and brand alignment reviews  
• Monitor potential trademark infringements and escalate where required  

Packaging Compliance & Brand Governance 

• Own and manage packaging compliance processes across all regions  
• Audit and track current packaging formats across regions and product lines  
• Ensure all packaging aligns with:  

          - Brand guidelines  

          - Trademark usage requirements  

          - Regulatory and compliance standards (e.g. labelling, certifications such as FSC where applicable)  

• Maintain a central record of approved vs non-compliant packaging  
• Support packaging approval workflows and ensure proper documentation is in place  
• Identify inconsistencies and work with regional teams to drive alignment  

Cross-Regional Coordination 

• Work closely with regional teams (ANZ, EU, NA) to:  

         - Gather packaging and trademark data  

         -  Ensure consistency across markets  

• Act as the central point of contact for brand and IP-related queries  

Systems, Tracking & Reporting 

• Develop and maintain trackers for:  

          - Trademark portfolio

          - Packaging compliance status

          - Approval workflows

Provide regular updates on:  

• Upcoming renewals  
• Compliance risks or gaps  
• Regional inconsistencies  

Stakeholder & Vendor Management 

• Liaise with:  

         - External legal firms  

         - Internal marketing teams  

         - Product and packaging stakeholders  

• Ensure alignment across brand, product, and legal functions

What we’re looking for: 

Education 

• Degree in Business, Marketing, Law, or related field (preferred)  

Experience 

•  2–5 years experience in:  
• Trademark / IP coordination  
• Legal admin / paralegal support  
• Brand governance or compliance roles  
• Experience working with multi-region or global organizations preferred

Skills 

• Strong organizational and documentation skills  
• High attention to detail (critical for compliance and IP tracking)  
• Familiarity with:  

         - Trademark processes (filings, renewals)  

         - Packaging compliance or regulatory requirements  

• Proficiency in:  

         - Excel / Google Sheets  

         - Project management tools (e.g. Wrike, Asana)
