Due to growth, we are looking for a Project Coordinator to provide high‑quality administrative, commercial, and systems support to Project Managers for UPS, and critical infrastructure projects. The role is responsible for maintaining accurate project data, managing SAP project transactions, supporting financial governance, and ensuring projects are executed in line with contractual, commercial, and PMO requirements.
Key Duties:
- Creating and maintaining project records in line with PMO processes, including SAP, SharePoint, Clockify, and related systems. Acting as a subject matter expert for SAP Project System (PS) and project-related contract transactions.
- Managing project financial administration, including invoices, revenue, purchase orders, sales orders, forecasting, inventory, and margin tracking. Coordinating billing schedules and revenue recognition in line with contract milestones and project structure.
- Leading month end financial close activities by working with Project Managers, Engineers, and Finance to ensure timely approval of revenue, billing, and supporting documents.
- Preparing invoices, delivery notes, and commercial documentation, including bank guarantees and maintenance contracts. Monitoring and reporting overall project financial health and provide weekly project status, billing, revenue, and margin forecasts.
- Coordinating procurement activities, including purchase order management and supplier creation requests with SCM. Supporting continuous PMO process improvement by standardising, documenting, and improving project and financial processes.
Qualifications:
- Trade, Diploma or Degree qualification in project management or related areas
- 2+ years' experience in business, data analysing, financial reporting and project coordination area
- Intermediate skill in MS Office - Word, advanced skill in MS Excel, beginner skill in Adobe Acrobat and familiar with VLOOKUP, SUMIF, Pivot table, etc.
- Proficiency in an enterprise CRM software such as SAP, Oracle and or Salesforce highly desired
