Job Summary

Reporting to the Director of Payroll, the Senior Payroll Specialist supports end to end payroll operations in close partnership with management. Under limited supervision, this role is responsible for overseeing payroll processing for Medline businesses and managing day to day payroll activities.

The Senior Payroll Specialist brings a strong ability to deep dive into payroll discrepancies, drive process improvements, and conduct complex, in depth audits to ensure payroll accuracy, compliance, and operational excellence. This role requires advanced Workday expertise and the ability to collaborate with and train team members as needed to strengthen overall payroll knowledge and consistency.

The Senior Payroll Specialist performs a wide range of payroll and timekeeping activities—including processing, reporting, validation, root cause analysis, and customer support—to ensure all payrolls, audits, and payments are accurate, timely, and compliant with applicable payroll laws, regulations, and internal policies.

Job Description

Job Responsibilities:

  • Lead and execute payroll processing in Workday, ensuring accuracy, compliance, and adherence to established timelines

  • Perform all required payroll audits during processing, ensuring completeness and accuracy of the payroll checklist

  • Conduct in‑depth, complex payroll audits, including retroactive pay, garnishments, benefits, tax, and multi‑state discrepancies

  • Proactively identify, analyze, and improve payroll processes by deep‑diving into errors, trends, and systemic issues

  • Determine root cause of payroll errors by collecting, validating, and analyzing data under strict deadlines; implement corrective and preventive actions

  • Audit and complete payroll close in UKG; reconcile hours between UKG and Workday, resolving variances timely

  • Serve as backup support and subject matter expert (SME) for UKG, ensuring continuity of operations

  • Analyze and process off‑cycle payrolls, special payments, adjustments, reversals, and corrections

  • Proactively ensure all payroll errors, discrepancies, and issues are resolved accurately and within established service levels

  • Provide high‑level support to internal and external customers regarding payroll inquiries, including complex or escalated issues

  • Leverage advanced Workday knowledge to support configuration understanding, reporting, audits, and troubleshooting

  • Partner with the Director of Payroll to assist in the development and enhancement of payroll policies, procedures, contingency plans, and process improvement initiatives, using payroll best practices and existing tools

  • Participate in Financial, Tax, and Benefits audits as required; prepare audit documentation and respond to auditor inquiries

  • Produce and analyze payroll reports, including labor distribution, accruals, tax filings, and benefit disbursements

  • Train, coach, and cross‑train payroll team members, sharing knowledge on Workday, UKG, audits, and payroll best practices to strengthen team capability and coverage

  • Serve as backup for all payroll functions; collaborate with payroll team members to ensure full cross‑coverage and business continuity

  • Provide regular feedback and insights to the Payroll Director, ensuring timely issue escalation and participation in problem‑resolution and continuous‑improvement efforts

Minimum Job Requirements:

Education

  • High school diploma

Work Experience

  • At least 4 years of experience processing multi-state payroll OR high school diploma or equivalent and at least 6 years of experience processing multi-state payroll.

Knowledge / Skills / Abilities

  • Strong working knowledge of payroll wage and hour laws, tax regulations, and payroll operations

  • Strong working knowledge of payroll system functionality and the ability to effectively utilize ERP applications

  • Advanced spreadsheet skills (VLOOKUP, pivots, functions, etc.)

  • Strong communication skills with the ability to accurately understand and communicate payroll wage and tax information, payroll policies and procedures, and payroll system functionality to all levels of employees

  • Ability to maintain a thorough understanding of the payroll cycle

  • Strong organizational skills with the ability to plan, organize, and prioritize tasks and schedules to meet critical deadlines in a fast-paced environment

  • Demonstrate high levels of technical expertise, integrity, honesty, credibility, and the courage to make difficult yet necessary decisions

  • Detail-oriented with excellent analytical skills; proactive with meticulous follow-up skills

  • Ability to define problems, analyze data, and outline valid conclusions and action steps

  • Ability to provide superior customer service through all types of interactions by maintaining a positive, friendly, professional, and patient attitude at all times

  • Self-starter who is able to work independently, ensuring all payroll deadlines are met

Preferred Job Qualifications:

Education

  • Bachelor's degree in Accounting, Human Resources, Business Administratioin or related field

Certification/Licensure

  • Certified Payroll Professional (CPP) designation

Work Experience

  • At least 7 years of experience in processing multi-state payroll.

  • Strong knowledge of California payroll processing requirements.

  • Experience processing Canadian payrolls.

Knowledge / Skills / Abilities

  • Experience processing payroll for a large organization (over 10,000 employees)

  • Experience with Workday, UKG, ADP

The anticipated salary range for this position:

$79,000.00 - $119,000.00 Annual

The actual salary will vary based on applicant’s location, education, experience, skills, and abilities. This role is bonus and/or incentive eligible. Medline will not pay less than the applicable minimum wage or salary threshold.
