WHO WE’RE LOOKING FOR

The Digital Operations Coordinator supports the day-to-day operations and project coordination of the Academy’s core digital products: Grammy.com and affiliated websites, the GRAMMY One mobile app, and the Salesforce-based member portal. You will serve as the central coordination point across internal teams, external agencies, and cross-functional stakeholders, ensuring that projects stay on track, vendors are aligned, and the Digital Experience team can focus on strategy and product development.

In this hands-on execution and coordination role, you will function as an embedded project manager for the digital team, managing workflows, tracking timelines, coordinating stakeholder approvals, and handling operational tasks including web publishing, QA, and asset management. You will serve as the first line of defense for digital requests from across the organization and affiliated entities, triaging and resolving requests before escalating to the Director. You will partner closely with the Academy’s web development agency, mobile app partner, and CRM consultant, as well as internal teams across Marketing, Membership, and Business Intelligence. You are highly organized, comfortable managing multiple workstreams simultaneously, and effective at working across departments in a matrixed organization.

WHAT YOU’LL DO

  • Serve as the first point of contact for digital requests from affiliated organizations (MusiCares, Latin GRAMMY, Latin GRAMMY Cultural Foundation, Recording Academy departments). Triage incoming requests, assess scope, and either execute directly, route to the appropriate vendor or team member, or escalate to the Director of Digital Experience when strategic decisions are required.
  • Coordinate day-to-day operations across the website, mobile app, and member portal.
  • Manage project workflows using Airtable or similar tools: track timelines, milestones, deliverables, and stakeholder approvals.
  • Serve as the primary coordination point with the web development agency, mobile app developer, CRM consultant, and other vendors.
  • Support cross-functional intake meetings with Marketing, Membership, Editorial, MusiCares, Latin GRAMMY, and Advocacy teams.
  • Handle web publishing tasks, QA, asset uploads, metadata management, and taxonomy maintenance in WordPress.
  • Manage the logistics of cross-platform projects including scheduling, documentation, and stakeholder communications.
  • Coordinate content and asset handoffs between internal teams and external agencies.
  • Support the Director of Digital Experience by managing operational tasks that enable strategic focus.
  • Escalate strategic, cross-functional initiatives to the enterprise PMO as appropriate.
  • Other duties as assigned.

SKILLS & EXPERIENCE

  • Bachelor’s degree in communications, marketing, business, project management, or a related field.
  • 2+ years of experience in digital project coordination, web operations, digital production, or a similar operational role.
  • Experience in media, entertainment, music, or a non-profit organization preferred.
  • Experience coordinating with external agencies or vendors in a digital or technology environment.
  • Experience with project management tools such as Airtable, Asana, Monday.com, or similar platforms.
  • Experience with CMS platforms (WordPress preferred) and basic web publishing workflows.
  • Ability to perform quality assurance on web content including copy, links, images, and metadata.
  • Familiarity with digital analytics tools (GA4, Google Search Console) a plus.
  • Strong attention to detail with the ability to track and manage project documentation and status reporting.
  • Excellent communication skills with the ability to work independently in a remote environment.
  • Ability to work cross-functionally in a matrixed organization with multiple internal stakeholders.
  • Strong organizational skills with the ability to manage multiple workstreams, deadlines, and stakeholders simultaneously.
  • Willingness and availability for some travel as needed for periodic team meetings.

SALARY AND BENEFITS

The starting rate for this position is $30.97 to $34.05 per hour, benchmarked against industry standards. Rates for positions required to be in specific geographic locations reflect the corresponding labor market.
