Months: 12 Months Job roles and responsibilities: Content Production & Activation Pipeline:
Own the end-to-end content activation pipeline from concept through compliance review, approval, and final delivery across multiple asset types (infographics, presentations, videos, webinar recordings, educational materials)
Coordinate production timelines with internal creative, editorial, and design teams; manage handoffs between content creation, compliance review, and publication.
Manage content management system submissions for all resource types.
Shepherd assets through medical and regulatory review processes; track submission status and timelines; escalate delays as appropriate.
Project Workflow & Systems Management
Own project management board administration (Monday.com) across all active programs: maintain status accuracy, update timelines, track cross-functional dependencies, and build workflow automations.
Track project progress on a continual basis, identifying cross-activity and cross-functional risks related to scope, timelines, and budget; escalate to leadership as appropriate.
Maintain operational documentation and standard operating procedures for all team processes.
Facilitate regular operations process team huddles updating team on process steps and status of in-progress activities.
Platform, Vendor & Distribution Coordination
Coordinate platform maintenance activities with IT partners, including updates, fixes, and enhancement execution.
Manage vendor and contractor coordination for production timelines with external writers, designers, and production partners.
Support print and digital asset distribution management, including order coordination and utilization tracking.
Manage email marketing campaigns and audience communications via Mailchimp or similar platforms.
Communication, Budget & Reporting
Monitor and triage inbound communications from internal and external stakeholders; route inquiries, respond to recurring requests, and escalate complex issues to leadership.
Support leadership with budget tracking: log program costs, vendor invoices, and operational expenses against approved budget; flag variances.
Maintain production tracking documentation including turnaround times, revision cycles, and resource allocation per deliverable.
Prepare data inputs for contribution to the quarterly performance and KPI reporting.
Qualifications & Experience Required
BA/BS degree with 3 to 6 years of process management or project management experience
Demonstrated experience managing multiple concurrent projects with competing timelines.
Strong proficiency with project management platforms (Monday.com preferred) and workflow automation tools.
Experience with content production workflows, editorial calendars, and compliance review processes
Proficiency with Adobe Creative Suite (Acrobat, InDesign, or similar) for asset review and light production support
Experience with email marketing platforms (Mailchimp or similar)
Expert knowledge of Microsoft products (Teams, Outlook, Office suite)
Excellent interpersonal and communication skills; virtual communication skills are critical.
High learning agility with ability to quickly assimilate new information and adapt to changing priorities.
Self-starter who can operate independently, think creatively to solve problems, and also take direction and incorporate feedback constructively.
Preferred
MBA or master’s degree in a related field
Pharmaceutical or life sciences industry experience
Familiarity with medical or regulatory review processes (e.g., MRC/PRC)
Experience with content management systems such as Veeva Vault or similar
Experience with virtual event platforms (e.g., Zoom Webinar or similar)
Experience building workflow automations within project management platforms.
