Summary/Objective

The Purchasing Agent is responsible for sourcing, evaluating, and procuring materials, equipment, and supplies in accordance with established purchasing policies and organizational requirements.  This role ensures cost-effective purchasing decisions, maintains strong vendor relationships, and supports the operational needs of the organization through accurate requisition review, competitive bidding, and effective negotiation.

Core Job Duties

• Purchase forecasted materials, equipment, and supplies in alignment with company purchasing regulations and procedures
• Reviews and analyze incoming purchase requisitions to determine needs, accuracy, and priority
• Research, investigate, and develop new and existing supplier sources to ensure quality and competitive pricing
• Prepare clear and comprehensive bid specifications based on organizational requirements
• Issue bid requests, evaluate vendor quotations, and compare pricing, quality, and service levels
• Lead negotiations with vendors to secure favorable terms and award purchase contracts
• Interpret and communicate purchasing policies, guidelines, and processes to internal departments and external vendors
• Serve as a subject-matter specialist for assigned material categories requiring technical knowledge and informed decision-making

Key Performance Measurements

• Lead time to source stocking materials
• On-time shipments for stocking materials
• GP% for stocking materials
• Other metrics prescribed by management

Competencies

• Requires the use of initiative and independent judgment
• Strong professional writing and e-mail correspondence skills
• Accurate typing skills, minimum of 45 WPM

• High School Diploma or GED required; Bachelor’s degree preferred
• 2+ years of experience in customer service or managing subcontractors/vendors
• 2+ years of experience building strong business relationships, including negotiating and problem resolution, preferred
• 2-5 years of experience analyzing and interpreting data; preferably within invoicing, accounts receivable, accounts payable, and/or cash applications
• Extensive proficiency with Microsoft Word & PowerPoint
• Advanced expertise in Microsoft Excel; including large data sets, pivot tables, array formulas, IF statements, and multi-nested, concatenated formulas
• Demonstrated knowledge of financial forecasting and analysis in complex environments involving multiple financial sites, systems, and processes
• Experience in Salesforce, preferred

The actual compensation offered to a candidate will be dependent upon several factors, including but not limited to experience, qualifications, and geographic location. Employees may be eligible for additional incentive pay.
