Business Support Associate with English (office assistance/administration)

What you do:
 
As a Business Support Associate, you will play a vital role in our Bayer team by carrying out the following responsibilities: 
 
  • Calendar Management: Schedule and coordinate meetings, resolve conflicts, and manage room reservations; organize catering and off-site dining arrangements as needed
  • Email Management: Efficiently handle incoming emails, create correspondence on behalf of management, and organize the Outlook inbox
  • Meeting Support: Set up virtual and hybrid meetings, assist participants, prepare briefing materials, take minutes, and track action items; organize and moderate workshops as required
  • Travel Arrangements: Plan and book business trips, including transportation and accommodation, while ensuring all necessary amenities are in place; assist with visa applications when necessary
  • Expense Management: Create and submit expense reports, verify invoices and receipts, and review claims for consistency and compliance with local policies
  • Project Support: Manage approval processes, track project files and action items, and assist with project cost controlling and reporting
  • Communication Management: Oversee internal communication within projects or departments, manage distribution lists, and facilitate onboarding for new team members
  • Administrative Tasks: Schedule interviews, verify invoices, support onboarding processes, and create purchase orders; provide IT ticket support and maintain SharePoint files
 
 
Who you are?
 
We are looking for a person who possesses the following qualities: 
 
  • The ability to prioritize and manage multiple responsibilities in a fast-paced environment
  • A proactive, independent, and solutions-oriented mindset demonstrating a high level of accountability and flexibility
  • Strong interpersonal skills, capable of building trusted relationships across all levels of the organization, primarily in a virtual environment
  • A minimum of 2 years of experience in an administration support role, with experience in Shared Service Center setup being an advantage
  • Proficiency in Microsoft Office Suite, including MS Teams and Outlook
  • English proficiency at C1 level
  • The capability to maintain confidentiality and handle sensitive information with care
  • Experience working in a dynamic environment with international managers/stakeholders
  • Proven experience in calendar management, travel planning, and executive-level logistics
