The Role: CRM Specialist
Imagine being the person behind the scenes who keeps everything running seamlessly. You’re not just setting up workflows, you’re designing systems that help teams perform at their best. When a new automation is needed, you bring it to life, and when something feels off, you catch it early. You bring clarity to processes through thoughtful documentation, ensuring everyone stays aligned and nothing falls through the cracks.
You don’t just manage data, you create structure and momentum. You’ll build and replicate CRM automations in Zoho, ensure accurate lead routing, and develop dashboards that give leadership clear, actionable insights. Working both independently and with technical teams, you’ll execute automation projects, resolve workflow challenges, support executive operations, and leverage AI tools to improve efficiency continuously and scale smarter systems.
What Your Days Might Look Like:
Build and replicate CRM automations and workflows in Zoho based on provided outlines and examples, such as creating lead routing rules based on postal codes for multiple team members
Identify and flag potential problems in workflows during implementation, including conflicts like overlapping postal codes or duplicate assignments, before they become issues
Create and replicate dashboards across multiple locations in Zoho, working from a sample template to build out variations for 50+ locations
Execute automation projects with moderate independence after initial training and guidance on the first iteration
Handle general executive assistant tasks including finding and allocating invoices, drafting emails, and managing administrative responsibilities
Create and maintain SOPs and process documentation for various systems and workflows
Collaborate with technical team members on complex automation issues while managing day-to-day system administration tasks
Work with AI-powered tools to enhance workflow efficiency and process improvement
Who We Think Will Thrive in This Role:
You have experience with CRM systems (Zoho preferred) and understand workflows, automations, and data management
You’re able to build and replicate automations and dashboards from examples across multiple locations
You have strong problem-solving skills and can identify and flag workflow issues before implementation
You’re highly detail-oriented and organized, with a focus on accuracy and clear SOP documentation
You’re capable of working independently after initial training and executing tasks reliably
You’re comfortable handling both system administration and executive assistant tasks (emails, invoices, admin)
You’re familiar with AI and automation tools (Zapier a plus) and enjoy improving workflow efficiency
You are willing to work in a US time zone schedule.
