Requirements:

  • Open new files, file correspondence/documents, and organize electronic filing systems for efficient retrieval.
  • Assist in preparing legal documents, client agreements, correspondence, briefs, and research materials; utilize precedents where applicable.
  • Manage and organize client files, maintain matter tasks, calendars, deadlines, and coordinate with clients and external parties.
  • Provide administrative support including scheduling meetings, handling calls and emails, responding to inquiries, and general administrative tasks.

Our client is a specialist family law firm in Australia known for providing expert legal support in family and divorce matters across multiple major cities, including Sydney, Brisbane, the Gold Coast, and Melbourne.

 

JOB SUMMARY:

We are seeking a highly motivated and organized individual to join our busy Family Law team as a Legal Administration Assistant. The successful candidate will play a crucial role in supporting lawyers and ensuringthe smooth operation of our legal practice. This position offers an excellent opportunity for someone with a real interest in the family law, and who has the ability to provide strong, proactive support to busy senior practitioners, to enable them to focus on the legal work.

 

KEY RESPONSIBILITIES:

 Document Preparation and Management:

  • Opening new files and filing various correspondence/documents

  • Assist in the preparation of legal documents, including client agreements, correspondence, and various other family law documents

  • Organise and maintain electronic filing systems for efficient document retrieval

  • Assist with legal research to support lawyers in case preparation

  • Assist in the preparation of legal briefs and research materials

  • Efficiently use precedents in working on the above

Client files:

  • Assist lawyers in managing and organising client files

  • Maintain and update matter tasks, calendars, deadlines, and schedules

  • Communicate and coordinate with clients and external parties regarding matters as directed by solicitor members of team

Client Interaction:

  • Assist the team with prompt responses to New Client Enquiries and the process around this

  • Communicate with clients to gather necessary information

  • Provide updates to clients on their matter

Administrative Support:

  • Schedule appointments and meetings for senior Litigation practitioners

  • Handle incoming calls, emails, and correspondence, and ensure timely responses

  • Perform general administrative tasks, such as photocopying, scanning, and filing


Requirements

  • Previous experience as a legal assistant with an Australian law firm preferred

  • Study towards a paralegal qualification or law degree is highly regarded

  • Experience in LEAP would be advantageous

  • Strong organisational and multitasking skills

  • Excellent written and verbal communication skills

  • Ability to work independently and collaboratively in a fast-paced environment
