Job Role: Bookkeeper

Compensation range: 2,000 - 2,500 AUD / month

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: They are a long-standing family-led manufacturer with deep roots in Australia’s industrial landscape, specialising in premium carbon-based materials used to purify water, treat air, and support environmental remediation. Drawing on more than a century of practical experience, their team takes raw, locally sourced resources and transforms them into technically refined filtration media, activated carbons, and related products that meet demanding industry standards. Their solutions play a quiet but essential role in helping utilities, municipalities, and industrial partners reliably deliver safe water and cleaner air, while also supporting specialised applications in sectors like soil treatment and manufacturing. Over decades they’ve combined hands-on expertise with a commitment to quality and sustainability — producing reliable materials at scale and delivering them with the consistency and responsiveness modern projects require.

Role Overview: The Family Office Bookkeeper is responsible for the accurate, timely, and confidential management of bookkeeping, financial recordkeeping, and reporting functions across a private family office. The role supports both the property portfolio and associated business entities, ensuring that all income, expenses, investments, and financial documentation are properly recorded, reconciled, and maintained within the designated document management system. This position plays a key role in supporting operational oversight, regulatory compliance, and end-of-financial-year reporting.

Key Responsibilities: 

  • Maintain accurate financial records for all property portfolio income and expenses
  • Reconcile property statements against bank accounts to ensure accuracy
  • Monitor rental income, arrears, vacancies, and necessary adjustments
  • Maintain individual financial records for each family member, including assets, income, and general ledgers
  • Manage trust property ledgers and prepare financial summaries
  • Ensure accuracy and integrity of general ledgers across all entities
  • Record dividend statements, distributions, and investment-related income
  • Maintain registers for shares, trusts, and other investment holdings
  • Track franking credits and maintain supporting documentation
  • Prepare fully reconciled financial records for end-of-financial-year (EOFY) handover
  • Compile and organize supporting documentation for tax and audit requirements
  • Process payroll and manage wage-related records
  • Liaise with external accountants to address financial queries and provide required information
  • Maintain organized electronic filing systems within the designated document management platform
  • Handle all financial information with strict confidentiality and discretion

Requirements

  • Ability to work independently while effectively managing competing priorities
  • Strong capability to meet reporting deadlines and compliance requirements
  • Ability to perform the inherent responsibilities of the role with accuracy and efficiency
  • High level of discretion, professionalism, and sound judgment
  • Reliable remote working setup with consistent system access
  • Strong bookkeeping and account reconciliation skills
  • Proven experience managing financial records for property portfolios
  • Solid understanding of Australian bookkeeping standards and end-of-financial-year (EOFY) requirements
  • Proficiency in Xero accounting software and other financial systems
  • Advanced skills in Microsoft 365, particularly Excel
  • Strong document management practices, including structured filing within SharePoint or similar platforms
