Job Role: Tenders Administrator
Compensation range: $1,500 AUD - $1,700 AUD / Monthly
Work Schedule: 9 AM - 5 PM, Monday to Friday (AU Time)

Who The Client Is: A well-established Australian business operating in the building improvement and asset maintenance space. They deliver project-based solutions focused on the refurbishment, enhancement, and upkeep of existing commercial and public-use facilities. Their work commonly includes upgrades to operational spaces, internal fit-outs, make-good works, and external infrastructure improvements across sectors such as education, healthcare, and other institutional environments.
Role Overview: We are seeking a Tenders Administrator to coordinate and support all tender, bid, and EOI submissions for the company. This role is critical in ensuring that submissions meet client requirements, maintain brand standards, and reflect the company’s capabilities.
The successful candidate will work closely with the Estimating & Tendering Lead, technical staff, and multiple stakeholders to prepare high-quality, compelling tender content, manage tender correspondence, and maintain the qualitative documentation library used across all submissions.
Key Responsibilities:
- Identify potential tender and bid opportunities that align with the company’s capabilities.
- Raise and manage tenders in internal systems such as Zoho CRM.
- Manage incoming tender correspondence, including addenda, site meeting notes, registration documents, and other tender-related administration.
- Accurately distribute tender materials to all stakeholders, including management, subcontractors, and clients.
- Assist in developing project-specific methodologies, project programs, and Safety Management Plans when required.
- Contribute to all bid/tender writing, liaising with technical staff to collect accurate and complete content.
- Review RFT documentation and provide a clear summary of requirements to management.
- Maintain up-to-date qualitative documentation for EOIs and tenders, including certificates, compliance letters, licenses, project profiles, personnel profiles, and past project experience.
- Act as the primary point of contact for coordinating multiple stakeholders and their commercial input to tender submissions.
- Coordinate first-class presentation material, ensuring brand standards are maintained while meeting client requirements.
- Assist with the creative design and production of tender documentation where required.
- Demonstrate strong safety awareness and understanding of building and maintenance processes.
- Communicate effectively both orally and in writing with internal and external stakeholders.
Required Skills and Qualifications:
- Minimum 3 years’ experience in a tender, bid writing, or contracts administration role within the Australian building and construction industry.
- At least 3 years’ experience responding to qualitative criteria for government or Tier 1 contractor clients.
- Demonstrated experience producing compelling, well-structured written content.
- Strong ability to interpret tender requirements and structure responses to address client criteria effectively.
- Advanced computer skills including MS Office and document management systems.
- Experience working with online job management systems such as SimPRO, Procore, or similar.
- Direct exposure to Australian government or commercial procurement processes.
- Excellent interpersonal skills and communication skills, both written and verbal.
Nice to Have
- Bachelor-level degree in Communications, Business, Construction Management, or a related field.
- Familiarity with EstimateOne for tender tracking and distribution.
- Experience using AI writing tools (e.g., Claude) for content drafting and editing.
- Understanding of building and maintenance processes in commercial or public infrastructure contexts.
