The Operations Coordinator role at Ferguson Law Group exists to transform the efficiency of our legal operations. As a new position driven by operational overload at the partner level, this role is essential in supporting the firm’s mission to provide exceptional client service and streamlined legal processes. The ideal candidate will ensure cases are meticulously tracked and administrative burdens are alleviated, allowing our attorneys to focus on strategic legal work and client advocacy.
What you’ll do:
- Case Tracking & Workflow Management: Regularly review case files and track the progression of cases to ensure all steps are completed on time and communication is maintained.
- Internal Accountability Driver: Act as the organizational engine by following up with attorneys and paralegals to ensure tasks are completed and progress is made.
- Administrative Backend Support: Manage high-volume communications, including email organization, file management, and phone record tracking, to maintain a streamlined administrative process.
- Meeting Participation & Reporting: Attend case meetings to provide detailed updates on case status, highlight gaps, and recommend next steps.
- Cross-Functional Collaboration: Work across various teams within the firm, including attorneys and administrative staff, to ensure seamless operational integration.
- Role Evolution & Gap Filling: As the role develops, identify inefficiencies, take on additional tasks, and expand into broader operational responsibilities.
What we’re looking for:
- Relevant Experience: Background in operations or administrative roles, including experience as an executive assistant, project coordinator, or in case tracking and workflow management (legal experience not required).
- Attention to Detail: Must be detail-obsessed, able to scan files, and identify any missed steps to prevent oversights.
- Organizational Ability: Demonstrates strong organizational skills to manage multiple moving parts independently.
- Follow-Through: High level of follow-through to ensure all tasks and processes complete successfully.
- Systems Thinking: Comfortable with workflows and able to track process steps logically to ensure all organizational systems function optimally.
- Assertiveness: Capable of professionally calling out missed work and comfortable driving accountability within the team.
- Executive Functioning: This role requires strong executive functioning skills, including the ability to organize, prioritize, and track multiple moving pieces with precision.
- Self-Starter: Proactive in identifying gaps and creating structures within a flexible and evolving role.
