  • Lead on-site and vendor management, including sourcing venues, premium vendors, and managing 100+ attendee registrations, with calm under fire.

The Opportunity

The Event Planner is the primary project owner for our most complex and high-stakes corporate programs. This is a role for a principal executor—someone who thrives in the details of a $1M budget and a high-pressure onsite environment. You are responsible for the "blueprints" of the event, operating with high autonomy to manage C-suite stakeholders and intricate timelines. You are managing the entire lifecycle of the event, overseeing vendors and teams supporting and ensuring that every strategic requirement is distilled into a flawless logistical plan.

The Event Planner is responsible for:

  • Full Project Ownership & Strategy: Act as the lead point of contact for multiple elite clients (Biotech, Pharma, VC, and Tech), managing the relationship from kickoff through post-event debrief.

  • Event Strategy & Blueprinting: Take high-level, often ambiguous client requirements and translate them into a concrete, actionable project plan from the ground up.

  • Financial Stewardship: Build and manage complex budgets (typically at least $1M), ensuring 100% financial accuracy and identifying cost-benefit savings.

  • High-Stakes Logistics & Sourcing: Lead the sourcing and negotiation for premium vendors, including venues, high-end F&B, and complex registration workflows for events with at least 100 attendees.

  • Agency Collaboration: Work within the Meeting Tomorrow ecosystem, pulling in our internal Creative and Production teams to ensure the event blueprint and technical AV design perfectly support the client’s goals.

  • On-Site Leadership: Lead on the ground during show days, managing vendors and internal staff with authority and a "calm under fire" demeanor.

What we need:

  • 5+ Years of Event Experience: You have navigated the agency world (non-internal meeting planning) and can independently lead a program on your own. CMP preferred. 

  • The "High-Touch" Factor: Proven experience working directly with C-Suite executives and high-net-worth clients with "white-glove" service.

  • Modern Tech Stack: High fluency in Cvent (Advanced), Google Workspace, time tracking tools, project management tools and experience using AI co-pilots (e.g., for content generation, vendor sourcing, or data analysis) to streamline event execution.

  • Data-Driven Mindset: Proven ability to use data and AI-generated insights to measure event ROI and adapt strategies mid-program.

  • Expert Communicator: You are an organized, high-initiative individual who communicates clearly and effectively with multiple clients.

  • Project Development: Proven ability to build a project from the ground up, moving from a blank page to a fully budgeted, timed-out event plan.

  • Values Alignment: You demonstrate kindness, commitment, and humility in everything you do.

  • Travel: Travel is required for events, estimated at approximately 20%.

The Impact

Within 30 days, you'll
  • Complete onboarding and familiarize self with company policies and procedures

  • Shadow experienced event planners on ongoing projects 

  • Learn our tech stack and tools 

  • Start managing tasks within ongoing events such as creating RFPs, venue sourcing, F&B

  • Assist in budget planning and tracking for events

  • Learn all services Meeting Tomorrow supports and meet internal teams

Within 90 days, you'll

  • Independently manage and execute events from start to finish

  • Ensure all event details are well-coordinated and executed flawlessly

  • Handle client communication independently, addressing concerns and questions

  • Ensure client satisfaction and gather feedback for improvement

  • Build strong relationships with recurring clients 

  • Manage onsite events and oversee vendors and onsite teams

 Within 1 year, you'll

  • Have a portfolio of successfully executed events, including both small and larger-scale projects

  • Take on a leadership role in team projects and decision-making

  • Expand the network of industry contacts and build a strong professional reputation

  • Attend industry events and conferences

  • Stay updated with industry trends and innovations

  • Pursue additional certifications or education in event planning if desired
