Roles & Responsibilities

  • Minimum of two (2) years of directly related experience in fundraising, development, or donor relations (employment, internship, and/or education).
  • Experience within the arts and cultural industry preferred.
  • Must pass a name-only background check in accordance with County Human Resources policy requirements.
  • Strong written and verbal communications skills with the ability to work independently and manage multiple projects.

  • Assist leadership with the development, coordination, and implementation of sponsor prospecting strategies, including identification of potential sponsors, timelines, meetings, materials, and prospecting communications.
  • Serve as a point of contact for existing and prospective sponsors and provide communication support for leadership.
  • Maintain and track all sponsorship paperwork and records, including drafting and processing sponsor contracts and payments, overseeing sponsor benefit fulfillment, and tracking data related to sponsorship reporting.
  • Create and coordinate sponsorship-related collateral in collaboration with staff, leadership, and the Division graphic designer, including prospecting materials, sponsor communications, event signage, and sponsorship program reporting.

JOB SUMMARY

Provides administrative support for fiscal sponsorship of the Arts & Culture division in coordination with Division leadership, including sponsor communications, contracting, tracking, fulfillment, and related reporting. Assists leadership with the development and implementation of the sponsor prospecting strategy. Provides sponsor-related support at Division events and programs.

MINIMUM QUALIFICATIONS

A minimum of two (2) years directly related experience (employment, internship, and/or education) in fundraising, development, or donor relations. Experience within the arts and cultural industry preferred.

 

Due to the nature of this position, the successful applicant must pass a required name-only background check in accordance with current County Human Resources policy requirements.

ESSENTIAL FUNCTIONS 

  • Assists leadership with the development, coordination, and implementation of sponsor prospecting strategies, including identification of potential sponsors, coordination of prospecting timelines, meetings, and materials, and prospecting communications in support of those functions.
  • Serves as a point of contact for existing and prospective sponsors and provides communication support for leadership.
  • Maintains and tracks all paperwork and records related to sponsorship process, including assisting with drafting and processing sponsor contracts and payments, overseeing and ensuring the accurate implementation of sponsor benefit fulfillment, and tracking data related to sponsorship reporting.
  • Creates and coordinates sponsorship-related collateral in collaboration with staff, leadership, and the Division graphic designer, including prospecting materials, sponsor communications, materials related to sponsor benefit fulfillment, necessary event signage, sponsorship program reporting and presentations, etc.
  • May assist with research, drafting grant applications, fulfillment, and reporting.
  • Provide sponsor-related coordination and support at Division events and programs.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

This position will be required to work some nights and weekends. Must be able to lift up to 50 pounds and stand or walk for extended periods of time.

IMPORTANT INFORMATION REGARDING THIS POSITION

Hours will vary depending on the time of year, typically ranging from 5-10 hours per week, with longer hours during heavy prospecting time periods, and leading up to and during events.

TEMPORARY POSITIONS:

 

An "At Will", FLSA non-exempt employee who is not eligible for County benefits and who must work an average of 29 hours or less per week or an average of 129 hours or less per month.

  • Must work an average of 29 hours or less per week or an average of 129 hours or less per month.
  • Are not eligible for County benefits except as otherwise provided for by policy.
  • Are not considered merit employees.
  • Are "at will" employees who may be terminated for any reason, without notice, and without a pre-termination hearing.
