Requirements:

  • Act as primary HubSpot administrator across Sales Hub, Marketing Hub, and Operations Hub; ensure CRM data accuracy through deduplication, naming standardization, field validation, and audits; manage user permissions, roles, and team structures; stay updated on HubSpot features and recommend process improvements.
  • Maintain accurate tracking of all deals and opportunities; enforce deal stage criteria and pipeline governance; monitor pipeline health and support revenue forecasting.
  • Build and maintain dashboards and reports for sales and marketing performance (e.g., pipeline velocity, conversion rates, campaign ROI, lead activity); deliver executive-level reporting to drive data-informed decisions.
  • Design and automate workflows for lead routing, lifecycle stage progression, task creation, and internal notifications; optimize workflows for efficiency and scalability; document operational processes to ensure continuity.

Job description

We are looking for a highly organized and detail-oriented Sales & Marketing Operations Specialist with expertise in HubSpot CRM. The successful candidate will manage and optimize our CRM environment, ensuring accurate data, seamless workflows, and actionable reporting to support sales and marketing performance. This role requires strong technical skills, process-building expertise, and the ability to work closely with cross-functional teams to drive revenue growth.

Key Responsibilities

HubSpot CRM Administration & Data Hygiene

  • Serve as the primary HubSpot administrator across Sales Hub, Marketing Hub, and Operations Hub.
  • Ensure CRM data accuracy through deduplication, naming standardization, field validation, and audits.
  • Manage user permissions, roles, and team structures.
  • Stay up-to-date on HubSpot features and recommend process improvements.

Pipeline & Revenue Operations

  • Maintain accurate tracking of all deals and opportunities; enforce deal stage criteria and pipeline governance rules.
  • Monitor pipeline health, flag inconsistencies, and support revenue forecasting.

Reporting & Analytics

  • Build and maintain dashboards and reports for sales and marketing performance, including pipeline velocity, conversion rates, campaign ROI, and lead activity.
  • Deliver executive-level reporting and insights to drive data-informed decisions.

Workflow Automation & Process Design

  • Design and automate workflows for lead routing, lifecycle stage progression, task creation, and internal notifications.
  • Continuously reejig and optimize workflows for efficiency and scalability.
  • Document operational processes to ensure continuity and knowledge sharing.

Contact Journey & Marketing Funnel Management

  • Map the full contact journey from first touch to closed-won using HubSpot lifecycle stages.
  • Manage lead scoring models, MQL/SQL definitions, and marketing funnel tracking.
  • Ensure proper UTM tracking, form strategy, and campaign attribution.

Cross-Functional Collaboration & Enablement

  • Partner with Sales and Marketing teams to translate operational needs into CRM solutions.
  • Provide training and ongoing support for HubSpot best practices and workflows.
  • Assist in onboarding new team members, including access setup, training, and workflow integration.

Qualifications

Required

  • 3+ years of experience in sales operations, marketing operations, or revenue operations.
  • Expert-level proficiency with HubSpot CRM (Sales Hub, Marketing Hub, Operations Hub) with certifications preferred.
  • Experience building dashboards, reports, and automated workflows.
  • Strong understanding of B2B sales processes, pipeline management, and marketing funnels.
  • Proven ability to maintain data hygiene at scale.
  • Analytical skills to translate data into actionable insights.
  • Excellent written and verbal English communication skills.
  • Self-starter able to work independently in a remote environment.

Preferred

  • HubSpot certifications (Inbound, Marketing Software, Sales Software, Revenue Operations).
  • Familiarity with HubSpot integrations (Zapier, PandaDoc, Slack, LinkedIn Sales Navigator).
  • Experience in B2B SaaS or technology companies.
  • Knowledge of SQL or data visualization tools (Looker, Google Data Studio).
  • Experience with global or distributed teams.
  • Bachelor's degree in Business, Marketing, Information Systems, or related field.
