The Role: Project Management Specialist
Imagine being the central hub that keeps everything on track. You’re not just updating spreadsheets, you’re coordinating volunteers, aligning teams, and ensuring projects run smoothly from start to finish. When new inquiries come in, you match them to the right opportunities. When deadlines approach, you’re already following up and keeping everyone aligned. When systems need improvement, you step in and make them better.
You don’t just track tasks, you create structure and momentum. You keep communication clear, ensure nothing falls through the cracks, and help projects move forward on time. And when priorities shift, you adapt—refining processes and keeping the team focused and efficient.
What Your Days Might Look Like:
Volunteer Coordination
Respond to messages from people and groups who want to volunteer
Collect important details like group size, skills, and preferred dates
Keep records of all volunteer inquiries and schedules
Match volunteers with the right activities based on their skills and availability
Schedule visits and confirm all details ahead of time
Share important information like directions, expectations, and tasks
Make sure all required forms are completed before visits
Coordinate with staff to prepare for upcoming volunteer activities
Send thank-you messages and surveys after visits, and keep records updated
Administrative Support
Assist the leadership team with daily tasks
Organize files and keep digital documents easy to find (Google Drive)
Help create and maintain internal guides and processes
Research and set up better ways of working when needed
Keep systems and documents updated and organized
Project Coordination
Help manage different projects across volunteers and programs
Update and track tasks using tools like Monday.com
Monitor deadlines and make sure projects stay on schedule
Communicate with team members and external partners
Prepare notes and documents for planning
Follow up to ensure tasks are completed on time
Systems & Tools Support
Help manage and maintain tools like Monday.com and Salesforce
Learn and use new tools as needed
Support onboarding and help the team adapt to new systems
Set up dashboards and tracking systems to improve workflows

You can manage multiple projects, timelines, and stakeholders at once
You’re highly organized, detail-oriented, and reliable with follow-through
You’re comfortable with project management tools and quick to learn new systems
You communicate clearly with teams, partners, and volunteers
You stay proactive, keep things moving, and adapt under pressure
You are willing to work in a US time zone schedule.
You can secure the required technical setup, including:
At least a 720p HD webcam
A noise-canceling headset
A primary internet connection of at least 25 Mbps
A backup laptop, backup internet device, and backup power source
A main computer with at least Intel Core i5 (or equivalent) and 8 GB RAM
A backup computer with at least Intel Core i3 and 4 GB RAM
