Role Overview
As the Payments Operations Manager, you will build, own, and manage all operational processes within the Everfield Payments team.
Your primary mission is to drive Business Units through our payments integration funnel as fast and as smoothly as possible; from pre- deal close alignment through to operational readiness and go-live. You will act as the operational engine that keeps our payments funnel moving, removing blockers, maintaining momentum, and ensuring every BU has a clear, supported path to go-live.
You will build enduring processes and policies across a diverse set of stakeholders: the Everfield Business Unit ecosystem, Everfield HQ, the Everfield Payments team, Everfield finance function, and our payment processor Adyen. You enjoy iterative improvement, getting things done, and have the curious mindset that looks for improvement every day. You look to utilise AI in all aspects of operations to increase your impact whilst making the experience smoother for all stakeholders.
About the team
You’ll be working as part of the Payments team, reporting into the Head of Proposition and Operations. You will contribute to strategic direction-setting with your manager while owning hands-on execution on the ground
What you will do:
Payments Funnel Ownership:
Own the operational delivery of our 7-phase payments funnel, ensuring new and existing Business Units progress from acquisition handover through to live, transacting merchants as quickly as possible.
Drive BU onboarding through a unified, repeatable process including defining and running a ‘Payments Bootcamp’ for new portfolio companies that covers commercial setup, Adyen boarding, integration expectations, support model, and BU reporting.
Track and report on funnel KPIs per phase and proactively flag blockers.
Coordinate with the Payments CTO, Head of Proposition, Pricing Lead, GTM Lead, and BI team to ensure each BU has the inputs and support needed at every funnel stage.
Adyen Relationship and Processor Management
Serve as the primary operational contact with Adyen; managing boarding processes, account setup, escalations, terminal logistics, and day-to-day coordination.
Maintain a working knowledge of Adyen for Platforms capabilities and ensure BU-facing processes align with Adyen’s requirements and timelines.
Oversee terminal hardware logistics for POS-focused Business Units, including ordering, configuration, shipping, and inventory tracking.
Operational Processes and Continuous Improvement
Collaborate with multiple business units, including Finance, Product, and Technology to ensure operational efficiency — placing Everfield Payments into the wider scope of Everfield operations whilst continuously improving payments operations.
Evaluate and maintain operational performance through defined KPIs, including onboarding timeline targets, support ticket resolution times, merchant activation rates, and time-to-first-transaction. You can show how our operations are performing.
Define improvement plans and policies that progress and promote company vision and culture.
Scale processes as the portfolio grows, ensuring we remain compliant with regulatory and scheme standards.
Support and Incident Management
Form a 3rd line of support towards Business Units and manage payments support channels (including Slack).
Manage real-time issues, follow up on downstream impacts of system outages, and resolve internal failures or issues raised by internal audit and/or compliance.
Own Operational Resilience, Disaster Recovery, and Business Continuity Planning together with the Payments CTO.
Tooling and Knowledge Management
Maintain and improve our Notion structure and Notion documents including process playbooks, onboarding guides and relevant frameworks, and internal wikis. You are the owner of keeping our operational knowledge base current and useful.
Leverage AI tooling (including Claude/Cowork) to automate repetitive operational tasks, improve workflows, and increase team productivity.
Collaboration and KPI Reporting
Collaborate with management and colleagues to deliver business-expanding strategies and promote a culture of continuous improvement.
Work with Payments Control and Business Intelligence as a key consulting partner to ensure continuous improvement and visibility of payments growth and key metrics.
Collaborate with other functional Leads of the Everfield Operations team to ensure all Payments Business Unit related processes are integrated in the wider Everfield processes and rituals.
What we are looking for:
Key requirements:
Hands-on mentality and self-starting preference: you will be able to focus autonomously on the highest impact and value-added items.
Proven experience in operational roles within the payments industry, ideally within a PSP, payment facilitator, or platform payments environment.
Experience with Adyen (strongly preferred) or comparable payment processors in an operational capacity: boarding, escalation management, terminal logistics.
Strong communication, stakeholder management, and problem-solving abilities; comfortable working across cultures with BU teams in multiple European countries.
Tech-savvy: comfortable maintaining Notion workspaces, working with AI tools (e.g., Claude/Cowork), and using data to drive decisions. You need to be digitally fluent.
Pro-active attitude and drive to continuously improve operations and processes so that our Business Units and their customers experience forward momentum.
Experience implementing best practices to optimise efficiency and maintain a high standard of service in a decentralised operating model.
Language: fluent English required; Additional European languages are a plus.
Desirable experience:
Experience working within a fast-growth software company in a private equity driven environment.
Proven experience in payment operations roles, ideally within the fintech, banking or financial services sector.
Experience of managing a technical Operations team to deliver customer excellence,
Understanding of regulatory frameworks, including PCI DSS, AML, and fraud detection/prevention.
Experience in payment terminals and logistics is a plus.
